Failed Mail Merged e-mails

I have recently attempted to send e-mails via Microsoft Outlook with a Word merge document and Access database table data source.  The e-mail text is as follows:

Member Number:  «MemNumber»

Dear «Firstname_Init»

This is a polite reminder to advise that your five-year subscription purchased in 2021 expires on 30/06/2026 which means renewal will be due on 01/07/2026.

The Society very much appreciates your support, and it is hoped that you will continue your membership.  You are, of course, free to renew in whichever way suits you best, but many members find it easiest to renew through the Members’ Area on our website.

Please note 5-year subscription rate increase to £65 for UK and £90 for Overseas for 2026-27.

Despite rewording the merge doc several times after seven attempts and even attempting to send the messages one at a time, the e-mails are being blocked, with the following failure message:

 

Your message did not reach some or all of the intended recipients.

      Subject:     5-year Subscription Expiry

      Sent: 03/05/2026 13:42

The following recipient(s) cannot be reached:

 

This is most frustrating.  It seems somewhat ironic that Microsoft include super capable features in 365, i.e. mail merge e-mails, then build in other features preventing their use. 

 

Any assistance to achieve an easy to follow work around would be much appreciated.

It helps a lot; after looking the exact error message, it looks like the issue is from BT mail provider.

I have come across several discussions on BT forum and here is some the information I gathered:

  • This error could occur when there's a suspicious link in the email message.
  • Try disconnecting your hub from line for half an hour or so to get a different IP address that might work.
  • Create a word document that includes the link, then send the document as an attachment,
  • Reaching out to BT support team or BT forum to get further assistance.

    First, I apologize for this inconvenience, I know this must be affecting your workflow a lot. I will try my best to assist you.

    May I ask which type of account are you using? (@yourdomain.com, @outlook.com, @hotmail.com, or another provider)

    You mentioned you used Access database as data source. Can you please provide the exact steps so I can reproduce your case?

    If you manually type in the email, then send the email to that recipient, does it work? This will help me narrow down if the issue is from the email address or mail merge.

    Please provide your Outlook and Word version as well.
