Your mailbox folder "\Conversation History\Team Chat" is approaching a quota limiting the number of messages per folder. It contains 900612 messages.

I am receiving notification in the O365 groups with **Subject:**One of your mailbox folders is approaching a quota limit.

Your mailbox folder "\Conversation History\Team Chat" is approaching a quota limiting the number of messages per folder. It contains 900612 messages.

Please reduce the number of messages in this folder by deleting items or moving items in this folder to a different folder.

This address is an O365 group that also uses teams.

I can't find this 900612 messages. For this I have 2 questions:

  1. Where do I have to search to find these?
  2. Where can I either delete all, or only some of them messages to reduce this big number?

    Where exactly or what do I have to search for, so I can find these entries and where can they be reduced? It would have to be an easy solution how to proceed in such a case.

    Hello,

    Yes, the link you posted is currently up to date information.

    Although, there is no such way to delete over Power Shell command.

    Since, you have deleted some channels that had lot of messages so you will no longer get email until you will reach quota limiting the number of messages per folder. Keep in mind the warning for number of messages per mailbox folder start from 900,000. You can keep below that level to avoid warning message.

    I understand it is not convenient way, let me know if you want link to provide your feedback to Teams.

    OK. The search is not the problem. The search shows me only the number and where these entrys are, what I also have from the email as info. I need the info how or where can I delete this ( and not manualy each message from the Teams conversation ). At the moment as in the following link visible, this is not possible :(

    A manual delete at 900k entries is not helpful :)

    Is this Microsoft post still up-to-date or can you automatically delete messages from teams ? - eg older than 1 year:?

    • eg over Powershell to set such a setting to do this automaticaly.

    I have now deleted some channels and there are a lot of messages. No I have the second question - when is this number updated and if I do not get this email tomorrow ( if I have deleted so much that I'm far below the 1,000,000 messages )?

    Hello,

    If you are admin then there no difficult task, you do not have to do anything special to include Team chats in content searches as they are scanned automatically when mailboxes are added as search locations.

    Although, you can use Get-MailboxFolderStatistics command to see how many items are in a user or group mailbox for team chats.

    You can search and delete messages, by running the Search-Mailbox cmdlet with the DeleteContent switch.

    Hello,

    You can use Content Search that can be used to search for all Teams data through rich filtering capabilities and exported them for save. And then you can delete the chat.

    You can check about how to conduct a compliance content search for Microsoft Teams content in the Office 365 Security & Compliance Center.
