HTML of Office365 disclaimer not working

Good day,

I've read just one post so far about HTML not working for disclaimers. In the end the problem was that it was send in plain text from an iPhone.

Yet in this case the HTML will not show in the disclaimer even though it is send from an exchange mail client in outlook to another exchange client in outlook. 

These are the problems:

  • After editing the disclaimer it takes up to 10 or 15 minutes before the update appears the actual e-mail.
  • After doing more then fifteen test disclaimers i took a break, then the day after the HTML suddenly worked.
  • Tried to edit the 'working' disclaimer and again it didnt read the HTML anymore.
  1. Can someone explain why the disclaimer doesnt show html (and for some reason, sometimes it does)?
  2. And can someone explain why it takes so long for edits that has made on the disclaimer to show on send e-mails?

I'ts a hudge husle that is now taking me too much time. Thank you in advance.

    Hi A H Groos,

    “The results of the test I did show that the problem mostly happend when mails are send from Mac Devices.Mails send from iPhone, Mac Mini send with "Mail for Apple"' all result in plain text e-mail disclaimers.”

    I can reproduce the same result. I think the root cause is Apple built-in mail App does not support HTML or Rich Text when composing an email.

    Regarding this, you may contact Apple support to confirm it.

    Hi A H Groos,

    I try reproducing this issue with five different tenants and get no luck. The only scenario can be duplicated is sending email with a plain text instead of html or rich text. HTML in a disclaimer is ignored if the disclaimer is added to a plain text message.

    Based on my tests, any updates will take effect immediately no matter how I edit the disclaimer. I also did a lot of internal research and didn’t find any other customers encounter the same issue.

    1.   I wonder if you can reproduce this issue when changing to another network environment or browser.

    2.   Regarding "HTML of Office365 disclaimer not working ", Where do you receive the email, in OWA(Outlook for Web App),Outlook client or Outlook for Mac?

    Thank you for the quick reply.

    This is how ive set up the current disclaimer:

    admin panel > exchange > mail flow > rules > disclaimer > apply this rule "if the sender is" > select sender

    This is how the disclaimer came out at first. I tried to edit the html a few times but it didnt had the effect on the html outcome such as url's or images even though all html code was correct.

    At one point (a day after i did another content adjustments) it worked and finally gave me an example of how the html would appear on the e-mail. For the record I didnt change anything, just did another test and it worked.

    Note: After it to work like (image 3) above, i did some editing in the content, such as names, phonenumber nothing radical and after a new test all html came out plain like (image 2) the first time.

    The email was send to the same e-mail adres, in the same e-mail program outside the organisation. The disclaimer is set to send to people that are outside the organisation including the HTML format.

    Do you have any idea what this could be? And a second question not to forget how come that the updates on the dislaimer arent real time? There is a delay of at least ten to fifteen minutes what makes it harder to test.

    Hi A H Groos,

    How do you create the disclaimer, via transport rule or Outlook client?

    Generally, as an Office 365 admin, we need to add disclaimer for every outbound email by transport rule due to the security & compliance of organization.

     

    To clarify this issue, can you share any steps or screenshots about how and where you create the disclaimer with html?
