File Retrieval Issue: Copilot Agent not searching all Sharepoint files in a folder

Has anyone ran into an issue where an agent made in Copilot Studio refuses to look at all files contained in a Sharepoint Folder, even a simple question of 'list all files contained in your knowledge' only returns 5 of the same files, when there are 25 files currently. This problem is occurring in more in-depth questions where i require data from specific files too. Is there any way to ensure the agent does use every file available to it or is this just an issue with Copilot agents / Sharepoint file retrieval.

    Hi Eamonn,this can happen due to a few common reasons:

    1. Partial Indexing – Copilot may not load all files. Try refreshing the data source in Copilot Studio.
    2. Permissions – Make sure the agent has read access to all files in the SharePoint folder.
    3. File Types/Sizes – Ensure all files are supported formats (PDF, DOCX, XLSX) and not too large.
    4. Folder Path/View – Custom SharePoint views or wrong folder paths can hide files. Use the root folder path.
    5. Knowledge Scope – Check in Copilot Studio if only 5 files are indexed. You may need to reconfigure the knowledge base.

    You can also use Power Automate or Graph API to confirm file visibility.
