How to allow external (non-domain) users to access RMS protected documents in an on premise environment

Hi,

I'm planning to upgrade SharePoint 2010 to 2016, I will be using RMS 2016 to protect SharePoint 2016 documents, my questions are:

  • We work with a lot of external consultants who are not members of AD, what is the best way to share RMS protected documents with them? I understood that they have to have a live account to do so, and I need to setup RMS Federation, can some one explain more
  • The RMS server is an on premise server, what do I need to do to make this server accept external requests to verify documents permissions?
  • What is the best solution to protect PDF document under a SharePoint environments that supports RMS, I currently have a workflow to convert PDF files to XPS

    To answer your questions:

    1. If you want to share documents externally, it's necessary to publish your RMS into internet, in this case we could setup reverse proxy in a new server, for more details, please refer to http://ramch011.blogspot.com/2015/06/configuring-rms-in-sharepoint-2013-on.html
    2. To use PDF files in libraries that the owner has protected with IRM, the user will need to obtain one of the following PDF-compatible readers(such as Foxit Reader or NitroPDF). https://learn.microsoft.com/en-us/microsoft-365/compliance/sp-compatible-pdf-readers-for-irm?view=o365-worldwide
