Using New Outlook on Windows for personal email, calendar, and contact management
Hello Ozan Dilaver,
Greetings!
Thank you for posting on Microsoft Community!
For your concerned issue "can't see emails older than 12 months", may I ask:
- What type of mailbox are you trying to configure on the Outlook client? (Microsoft 365 Business subscription Exchange mailbox, third-party mailbox such as Gmail, etc.?) Which version of Outlook are you currently installing? For how to check the version, please refer to: What version of Outlook do I have? If it isn't the latest version, please also install Office updates.
- If your mailbox type is Exchange and if you are in classic Outlook for Windows app, please check "Cached Exchange Mode" in Outlook? By default, 12 months of your email is available offline, but you can control how much mail is kept offline. If you are on new Outlook for windows, all data will be download.
You may also login to Outlook Web App and check if emails older than 12 months can be found there. If mails not visible on web app side, it should be your admin set retention policy which archived your old emails. If you have Online archive visible in your mailbox, please check emails in it. If not, please contact your admin to verify retention policy applied on your mailbox.
With the help of admin, you can also run content search to search old emails on the server side and back up it. for more details, please check Get started with Content search | Microsoft Learn.
If the above mentioned workaround could not address your concern, feel free to reply and provide more information to us. We will continue to support you.
Thank you for your time and cooperation. Wish you have a nice day!
