Ive been trying to save my document as a PDF. But when I send the document all the font changes. Im using word on my MacBook Pro. I followed a tutorial which advised me to go on word<preferences<save and then tick 'embed fonts in file'. I then saved the document as a PDF and the font still changed when I emailed the pdf to myself. How do I save my document as a PDF and be able to electronically send it without all the font changing?

    Hi HelenaFlynn,

I apologize for all the trouble it has caused and sorry about your time.

As per your description, please try to use the Print functionality in macOS to create a PDF. In the Print dialog box there's a PDF menu. Click on that and then click on Save as PDF, save it where you like, and you're done. Fonts automatically get embedded into the PDF.

When you Save As to PDF, you should see 2 options in the dialog, Best for electronic distribution and Best for printing. The electronic distribution option retains hyperlinks and replaces fonts with a font that comes with Office. When you choose best for printing, hyperlinks are not transferred, but fonts are retained.

In addition, fonts also are embedded into PDFs generated by using the File> Save As - PDF method & selecting the Best for printing option.

The Best for electronic distribution... option provided by the Save As method in Word embeds only subsets of the fonts used in the source document in order to render a smaller PDF file.

I appreciate your patience and understanding.

    Best Regards

    Waqas Muhammad

    Hi Helena,

A font will be embedded only if the font allows itself to be embedded. Most of the fonts on your Mac probably do not allow themselves to be embedded.

To find out whether or not the font you are using allows itself to be embedded, use Font Book application and display the font information. Here's the embedding restrictions for Apple's Helvetica font:
