How to create a team calendar which can show the events in sharepoint, outlook and teams by inputting information in outlook or teams?

I would like to create team calendar for the team showing all trainings, leaves and project deadlines. We have our team's teams channel and sharepoint. The purpose of the calendar is to let all team members can make an appointment/meeting in their personal outlook and it can automatically show in a teams channel and sharepoint. I don't want a shared calendar in outlook as the calendar will disable if the creator leave the company. Would you give advice on this please? Thanks.

    Hi Lilian,

Thanks for posting in the community. We are happy to help you.

Per your description, for "all team members can make … in their personal oultook", I assume you mean that they can see this calendar in each member's Outlook desktop application and can make an appointment/meeting.

If not, please point it out and let us know.

If so, there is a way to meet your needs. You need to create a SharePoint calendar and let users sync the SharePoint calendar to their Outlook. Since the SharePoint calendar is stored in SharePoint, it remains even if the creator leaves the company. Here are the steps.

    1. Create a SharePoint calendar in SharePoint.

Go to the relevant SharePoint site, Settings, Site Contents, + New, App, classic experience. Select the Calendar app, name it, and click Create.

  2. Let users sync the SharePoint calendar.

Open the SharePoint calendar from Site contents, copy the current URL, and share it with users. Let users access the URL and open the calendar in the browser. Click on the CALENDAR tab and click "Connect to Outlook". After that, users can see the SharePoint calendar in the Outlook desktop app. Adding appointments or meetings in the calendar will be synced to the server.

  • Add the SharePoint calendar to the channel.
  • Click the team channel, click the Add button, select the Website app, and paste the URL of the SharePoint calendar. However, based on my test, currently, the Website app forces the URL to open in a browser window instead of in Teams. So when users click on the Website tab, it redirects users to access the SharePoint calendar in the browser. This is caused by the Website app and I have not found a way to change this behavior.

We look forward to your response. Thanks for your cooperation.

    Hi George,

    Thanks for your response,

I have already created the SharePoint calendar and linked to outlook and teams with your steps. But I have some followup questions.

    1. When I can make a new event in the personal outlook calendar, how can the event show in both personal calendar and sharepoint calendar?
    2. how can we make a event in sharepoint calendar by using mobile outlook apps?

    Thanks for your assistance.

    Hi Lilian,

    Thanks for posting back.

    Regarding your questions:

    1. No, there are no built-in features to meet your needs. Since the SharePoint Calendar is an event list in SharePoint, you can build a Power Automate flow to sync the Outlook calendar with the event list (the SharePoint Calendar). In this case, each user would need to build their own flow to sync their personal calendar.

Outlook Calander sync with SharePoint (List or events)

    1. Sorry, the Outlook for mobile app doesn't support SharePoint calendars. In this case, I recommend you vote for this feedback in the Microsoft Feedback Portal where members also vote for their feedback. It's the platform for us to hear your voice and improve our products.

    Appreciate your understanding and patience.
