How to create a shared library on OneDrive from a shared mailbox on outlook?

Hi there!

My team have a shared mail box on outlook but all our files are currently on google drive. I'm hoping to switch our resources across to a shared library on OneDrive that is linked to our shared mailbox.

I'm not sure exactly how to do this or whether it is possible to do this for a shared mailbox, but any advice would be appreciated as my tech skills are fairly minimal!

All the best,

Laura

    Hi Laura,

Sure, you can first make sure to assign other users as another site owner beside you, so in the future even if your account is no longer with the owner permission in this shared document site, the other site owners can continue to manage and arrange all things.

    Hi Laura,

As per the description, I understand your demand to set up a shared library on OneDrive that linked to your shared mailbox. If my understanding is correct, please check if the steps below can achieve your demand.

    1. Create a shared library in your OneDrive Online. And search the mailbox group to add as Member.

    1. If it is not available, it may need to link the shared library to a new shared mailbox by adding a new Mail-enabled security group in Microsoft Admin Center to add the required users. Note: It may take around 1h for the new group to appear in portal.

    1. Move files from Google Drive to OneDrive. You may manually download the files or use the Migration tool.

Please correct me if I made any misunderstanding or if there have anything else I can do for you.

Your patience is highly appreciated. Hope you a nice day and stay safe!

    Best Regards,

    Mia

    Hi Mia!

    Thank you, this is helpful!

I'm hoping to clarify that if I create a shared library through my email account, but I add in the shared mailbox as a member, will all the associated permissions of that shared library be associated with my personal email account instead of the shared mailbox?

Just because I'm trying to ensure that access/permissions associated with resources are not directly dependent on specific volunteers.

    Thank you for your help!

    Hi Laura,

Good to hear you back with the updates.

When you create a shared library in OneDrive through your account and add a shared mailbox group as a member, the permissions associated with that shared library will be controlled by your account. This means that you, as the creator, will be the owner of the library, and the shared mailbox group will have the permissions you assign to it and apply to all users included.

Here I attached a test screenshot, and after you enter the selected group, you can assign a specific permission level or edit anytime in the future.

Please let me know if you need any detailed suggestions on deploying your environment. I will try my best to support as much as possible.

    Hi Mia,

Thank you for clarifying that for me.

Is there a way for me to transfer ownership of the shared library to someone else in the future? For example, in the event that I am no longer part of the team and my account is deactivated, or someone else takes on responsibility for the folders etc.

    All the best,

    Laura
