Windows 10 with Microsoft 365

How to see storage available/used in OneDrive personal? MS instructions say to click on "Menu". I don't see a menu option. Want to manage and understand OneDrive and MS 365. Do I have to continue 365 subscription to keep storage in OneDrive?

    Hi, BillWells

    Welcome to the Microsoft community.

To check your OneDrive storage usage on Windows 10 with Microsoft 365, follow these steps:

    1. Check Storage on OneDrive Web Interface:
    • Open a web browser and go to OneDrive. Sign in with your Microsoft account.
    • Once you're on the OneDrive main page, you'll see your account storage information at the top-right corner of the page, where it shows your account name and a brief overview of your storage.
    1. Check Storage on OneDrive Mobile App:
    • If you're using the OneDrive app on a mobile device, you can check storage by opening the app. Tap "More" (usually three dots or a gear icon) and then select "Account" or "Settings".
    • Your storage information should be displayed here.
    1. Check Storage on Windows 10 File Explorer:
    • Open File Explorer. Click on "OneDrive" in the left-hand pane under "Quick access".
    • At the top of the window, you'll see "OneDrive - Available storage".
    1. Check Storage via OneDrive Settings on Windows 10:
    • Click on the OneDrive cloud icon in the system tray (near the clock). Choose "More" (the three dots) and then select "Settings".
    • Click on the "Account" tab to see your storage details.

Regarding your Microsoft 365 subscription, as long as your subscription is active, you'll have access to the storage space that comes with it. If your subscription expires and you don't renew it, you'll have 93 days to decide whether to renew or upgrade your subscription to keep your storage space. After 93 days, your unused storage will be reduced, and you might lose access to some features.

    To manage your subscription:

    1. Go to [Microsoft Account] (https://account.microsoft.com/services) page.
    2. Sign in with your Microsoft account.
    3. Under "Subscriptions," you can view the status and details of your Microsoft 365 subscription.

I hope this helps you manage and understand your OneDrive and Microsoft 365 services better. If you have any more questions, feel free to ask.

To check your OneDrive storage usage and understand how it relates to your Microsoft 365 subscription, here's a clear step-by-step guide:

    1. Check Storage Used/Available in OneDrive Personal On the Web (easiest method):

    1. Go to the OneDrive website: https://onedrive.live.com.
    2. Log in with your Microsoft account credentials.
    3. Once you're logged in, follow these steps:
      • Click on the gear icon ⚙️ (Settings) at the top-right corner of the page.
      • Select "Options" or "Storage" from the dropdown menu.
    4. Here, you'll see:
      • Storage usage: Total space, used space, and free space.
      • A breakdown of storage used by files, photos, and documents.

    On Windows (File Explorer):

    1. Open File Explorer.
    2. In the left-hand navigation, click OneDrive.
    3. Right-click the OneDrive folder.
    4. Select Properties from the context menu.
    5. The storage usage for files synced locally will be displayed.

Note: File Explorer does not show total cloud storage, so the web interface is better for checking available cloud space.

    On the Mobile App (iOS/Android):

    1. Open the OneDrive app on your phone.
    2. Tap on the Me or Profile icon (usually bottom-right corner).
    3. You’ll see Storage Usage listed there.

    2. What Happens if You Cancel Microsoft 365?

    • OneDrive Storage Reduction: If you cancel your Microsoft 365 subscription, your storage reverts to the free tier, which includes 5 GB of storage.
      • If you were using, for example, 1 TB of storage (which comes with Microsoft 365), your files will still be accessible, but:
        • You cannot upload new files if you're over the 5 GB limit.
        • You may eventually lose access to all files if you don’t free up space below the 5 GB limit within a grace period.
    • Grace Period: Microsoft typically gives you 30-90 days to manage your files and download them after cancellation.

    3. Managing OneDrive Storage

If you're running out of space:

    • Delete unused files or move them to another storage service.
    • Use the "Manage Storage" section on the OneDrive web interface to see large files and delete unnecessary ones.
    • Download files locally to your computer or external drives if you want to keep them offline.

    4. Do You Need Microsoft 365 to Keep OneDrive?

    • No, you do not need a Microsoft 365 subscription to keep using OneDrive.
    • You can continue using 5 GB of free storage with a basic Microsoft account.
    • Microsoft 365 is only required if you want additional storage (like 1 TB) or access to premium apps (Word, Excel, etc.).

Let me know if you need help managing your OneDrive storage or figuring out your Microsoft 365 options! 😊
