Hello all,

I’m seeking clarification on how notifications work in shared channels in Microsoft Teams, specifically regarding notification delivery.

Notification Scope

  • Do only members explicitly added to a shared channel receive notifications (e.g., new posts, replies, mentions)?
  • If a shared channel is linked to a team, do other members of the team (including owners) receive notifications if they are not added as channel members?

    Hello @Subramanian, Pradeep

Thank you for posting your valuable question on Microsoft Q&A forum.

In Microsoft Teams, notifications for shared channels are scoped specifically to the members of the shared channel, not to the broader team it's linked to. Here's a breakdown of how it works:

    Who Receives Notifications

    • Only users explicitly added as members or owners of a shared channel will receive notifications for activity in that channel (e.g., new posts, replies, mentions).
    • Team owners or members who are not added to the shared channel will not receive notifications or see the channel's content, even if the channel is linked to their team.

    Visibility and Access

    • Shared channels are not visible to the rest of the team unless they are added as members.
    • Even team owners must be added to the shared channel to access its conversations, files, and receive notifications.

    Channel Ownership and Management

    • The person who creates the shared channel becomes its channel owner and can manage members, settings, and notifications independently of the parent team.
    • Shared channels have their own SharePoint site and notification settings, separate from the team.

    Mentions and Alerts

    • @mentions within a shared channel will only notify users who are members of that channel.
    • Channel owners can configure settings like who can use @mentions and other notification behaviors.

    In conclusion:

    • Only members explicitly added to a shared channel receive notifications.
    • Other team members (including owners) do not receive notifications unless they are added to the shared channel.
