How to link data in excel to the Visio shape DATA TABLE in Value Stream Map Shapes

I'm looking to populate a standard value stream map in Visio with data I'm populating into a template in excel. The excel will have the standard pieces of info as seen in the attached. Screenshot 2025-09-01 193629.png

How do I link this info, so that the info shows on the VSM in the data table?

Thanks,

Steph

    Hi @Stephanie Ewing

For value stream maps, the key is that Visio doesn’t “read arbitrary Excel cells” into shapes—you usually either (a) link a Visio diagram to an Excel table/range via Visio’s data linking and then map columns to shape data fields, or (b) use a template-driven workflow where the Excel table is the defined schema that Visio expects. Make sure your Excel range is an actual Table, confirm your column headers match what the shape fields expect, and do a small test with 2–3 rows first: link the data record set, apply it to one shape, then confirm the fields appear in Shape Data (and in the data table shapes, if those are configured to display those fields).

I hope this information is helpful.

    Hi @Stephanie Ewing

Thank you for posting your question in the Microsoft Q&A forum.

I just sent you a private message asking for your Excel file. Can you please check your messages and send it over when you have a chance? Thanks so much!

Could you also do me a favor and just copy the data you want to link to the Visio "Data Table" shapes into a new file? No need to send the whole original file.

    Looking forward to your response!
