How to do outlook setting so that I don't miss important emails

Hi everyone,

I’ve been using Microsoft Outlook for job-related communications, but lately I’ve noticed delays in receiving important emails from recruiters. Sometimes, messages go directly to the spam folder even though the sender is verified.

I also read a few discussions about optimizing Outlook settings for better deliverability and managing job alerts more efficiently. Since I often use websites like Jobs Addaa to check Sarkari results and career updates, I want to make sure I never miss important notifications.

Could anyone please suggest the best Outlook settings or filters to ensure I receive such emails instantly and avoid them going to spam?

Thanks in advance!

    Hi @Shivani Jain,

Thank you for posting your question in the Microsoft Q&A forum.

To ensure you don’t miss important emails from recruiters and websites like Jobs Addaa in Microsoft Outlook, you can optimize your settings and use a combination of filters, rules, and spam protection techniques.

Here are suggestions you can take to help address the issue:

    1. Mark emails as Not Junk

If emails are mistakenly going to the Junk folder, you can mark them as Not Junk so that Outlook learns your preferences.

    • Open the Junk folder and select the email.
    • Click on Report > Not Junk on the toolbar.

    1. Create a rule for important emails

You can set up rules to ensure that emails from specific senders, like Jobs Addaa or recruiters, go directly to your Inbox and are never missed.

    • Open Outlook and go to the Home tab.
    • Click three dots in the top-right corner >Rules > Manage Rules & Alerts.
    • Click on New Rule.
    • Under Start from a blank rule, choose Apply rule on messages I receive.

    • Click Next and then select "from people or public group" (to specify the sender, e.g., Jobs Addaa or a recruiter).

    • Click Next and choose the actions you want, such as "move it to the Inbox" and/or "mark it as important"
    • Click "importance" and choose "high", also click "specified" and choose "Inbox"

    • Finish the rule by clicking Next and then Apply.
    1. Turn on desktop notifications for important emails

You can enable notifications for specific senders, so you're instantly notified when you get an important email.

    • Go to File > Options > Mail.
    • Under Message arrival, check Display a Desktop Alert.
    • You can also choose Play a sound when a new message arrives.

    1. Enable Focused Inbox

Focused Inbox separates important emails from less important ones, making it easier to see priority emails (like job notifications).

    • Go to View > Show Focused Inbox.
    • Outlook will automatically move the most relevant emails to the Focused tab, while others will go to Other.

You can also move emails between the Focused and Other tabs as you see fit, so Outlook gets better at distinguishing your important emails.
