Dear @Paul Dalton,
Thank you for posting your question in the Microsoft Q&A forum.
Based on your description, it sounds like when you color multiple paragraphs, the “after” space between paragraphs stays white, not the background color. you want to find a way to make the background color cover that space. Please correct me if I misunderstand your point.
In Microsoft Word, paragraph shading applies only to the text area of each paragraph, not to the spacing between paragraphs. That’s why the 6pt “after” space remains unshaded. Unfortunately, Word does not have a built-in option to make shading continuous across paragraph spacing.
In the meantime, here are some workarounds you can try:
Option 1: Use a Table
- Select the paragraphs you want shaded.
- Insert them into a single-cell table:
- Insert > Table > 1x1.
- Paste the text inside.
- Apply shading to the table cell instead of individual paragraphs.
- This will cover all spacing and create a uniform shaded block.
Option 2: Apply a Text Box
- Select the paragraphs.
- Insert a Text Box (Insert > Text Box).
- Paste the paragraphs inside.
- Apply shading to the text box background.
- Adjust padding to mimic paragraph spacing.
Option 3: Remove Paragraph Spacing
If shading must apply directly:
- Set Spacing After = 0 pt for those paragraphs.
- Use manual line breaks or adjust line spacing for visual separation.
Then apply shading, this will appear continuous.
Option 4: Use Borders
Apply a Shaded Border around the group:
- Select paragraphs > Borders and Shading > choose Shading and apply to “Paragraph.”
- Add a border with shading to simulate a block effect.
