Word shading - how to fill in the blanks between paragraphs?

I have a Word document in which the paragraphs are set to have 6pt spacing "after". I've shaded several sequential paragraphs and that 6pt space between the paragraphs is not shaded.

Is there a way to make that shading "solid" over a span of several sequential of those paragraphs?

Make sure that you apply the shading to whole paragraphs and not to selected text.

In the Borders and Shading dialog box (to display the dialog, click the arrow on the Border button in the Paragraph group on the Home tab and choose Borders and Shading), go to the Shading tab and make sure that Apply to is set to "Paragraph."

The AI response is totally consistent with my experience, but I was really hoping there might be other approaches to accomplish this that do not require using text boxes or borderless tables.

I'll be interested to learn whether any others have had success using different methods/tools.

    Dear @Paul Dalton,

Thank you for posting your question in the Microsoft Q&A forum.

Based on your description, it sounds like when you color multiple paragraphs, the “after” space between paragraphs stays white, not the background color. you want to find a way to make the background color cover that space. Please correct me if I misunderstand your point.

In Microsoft Word, paragraph shading applies only to the text area of each paragraph, not to the spacing between paragraphs. That’s why the 6pt “after” space remains unshaded. Unfortunately, Word does not have a built-in option to make shading continuous across paragraph spacing.

In the meantime, here are some workarounds you can try:

    Option 1: Use a Table

    • Select the paragraphs you want shaded.
    • Insert them into a single-cell table:
      • Insert > Table > 1x1.
      • Paste the text inside.
    • Apply shading to the table cell instead of individual paragraphs.
    • This will cover all spacing and create a uniform shaded block.

Option 2: Apply a Text Box

    • Select the paragraphs.
    • Insert a Text Box (Insert > Text Box).
    • Paste the paragraphs inside.
    • Apply shading to the text box background.
    • Adjust padding to mimic paragraph spacing.

    Option 3: Remove Paragraph Spacing

    If shading must apply directly:

    • Set Spacing After = 0 pt for those paragraphs.
    • Use manual line breaks or adjust line spacing for visual separation.

Then apply shading, this will appear continuous.

    Option 4: Use Borders

Apply a Shaded Border around the group:

    • Select paragraphs > Borders and Shading > choose Shading and apply to “Paragraph.”
    • Add a border with shading to simulate a block effect.

I hope information above helpful, if you have any other questions, please feel free to reach out

In Microsoft Word, when you apply shading to paragraphs, the spacing between them (like the 6pt spacing you mentioned) will not automatically inherit that shading. Unfortunately, there isn't a direct way to fill in the space between paragraphs with shading using standard Word features.

However, you can achieve a similar effect by adjusting the paragraph settings:

    1. Remove the spacing after the paragraphs: Set the spacing after to 0pt. This will eliminate the gap between the paragraphs, allowing the shading to appear continuous.
    2. Use a text box or shape: Another workaround is to draw a shape (like a rectangle) that covers the area where the paragraphs are located and fill it with the desired shading color. This will visually cover the space between the paragraphs.

If you want to keep the spacing but still have a shaded effect, you would need to manually adjust the layout or consider using a table with no borders, where each cell contains a paragraph with the desired shading.
