how to set the number of participants in the booking event (the option is uavailable) - booking app

i am looking for the solution that is similar to what calendly group meetings offer, but i can't figure it out. I can't make the option of participants number available. there is neither a connection to my calendar, nor a connection to forms. i also can't find regular help page or AI assistant, just this weird platform. microsoft is not intuitive at all, just time wasting.

PS. do I really need to pay for calendly if my organization already pays for microsoft?

To set the number of participants for a booking event in Microsoft Bookings, you need to create a service that allows for multiple attendees. Here’s how to do it:

    1. Access Microsoft Bookings: In Microsoft 365, select the app launcher and then select Bookings.
    2. Create or Edit a Service: Go to the Services section and either create a new service or edit an existing one.
    3. Set Maximum Number of Attendees: In the service settings, look for the Maximum number of attendees field. Set this to the desired number of participants. The default is 1, which creates a 1:1 service. For group services, you can set it to a number greater than 1.
    4. Assign Staff: Ensure you assign staff appropriately if the service involves multiple staff members.

If the option to set the number of participants is unavailable, ensure that you have the correct permissions (Administrator or Team member) and that you are using the web app, as editing group bookings from the Teams app may reset attendees to 1.

Regarding your question about needing to pay for Calendly, Microsoft Bookings is included with Microsoft 365 Business Premium subscriptions, which may provide similar functionalities for scheduling and managing appointments without needing an additional service like Calendly.

Hi Karolina Kubiak / Amnesty International, I understand how frustrating it is when a feature you expect like setting participant limits just isnt visible especially when you’re trying to manage group bookings efficiently.

If the “Maximum number of attendees” option is missing because the service was created as a 1:1 booking or you’re using Teams/mobile, the fix is to create a new service in the Bookings web app enable Allow customers to book multiple attendees before saving set your desired attendee limit and publish the link for group sessions similar to Calendly integrate Microsoft Bookings with Teams so everyone who registers gets the same meeting link this approach is included in Microsoft 365 and avoids paying extra for Calendly.

Are you using the Bookings web app or accessing it through Teams or mobile?

    Best regards
