MS Excel will not let me change the layout from portrait to landscape

Got a new windows 11 laptop. it has a newer version of Excel that I'm not familiar with. I'm able to bring up my church files from my new digital hard drive with no problems. In my MS excel files I only use landscape never portrait. Some of my files come up as portrait. Under the page layout feature the Orientation button is not available. It's there just a very faint grey color. I'm loosing my ambition. please help.

    Hi,

    the most likely reason for the grayed-out Orientation button is that you don't have a default printer set up on your new Windows 11 laptop, or the Print Spooler service is not running. Excel needs printer information to manage page layout options. You can try these:

    Method 1: Set a Default Printer 

    1. Add a printer: Even if you don't have a physical printer, you can add a virtual one, such as "Microsoft Print to PDF" or "Microsoft XPS Document Writer".
      • Go to Start > Settings > Bluetooth & devices > Printers & scanners.
      • Click Add device and follow the prompts to add "Microsoft Print to PDF" as your default printer.
    2. Set as default: Make sure the newly added printer is set as the default. In the Printers & scanners settings, click on the printer you added, and ensure the "Set as default" option is enabled.

    After setting a default printer, reopen your Excel files and check if the Orientation button under the Page Layout tab is now available. 

    Method 2: Check the Print Spooler Service 

    The Print Spooler service needs to be running for printer-related functions to work in Excel.

    1. Open the Services desktop app: Press the Windows key + R, type services.msc, and press Enter.
    2. In the Services window, scroll down to find Print Spooler.
    3. Right-click on it and select Restart. If it is not running, select Start.
    4. Make sure the "Startup type" is set to Automatic

    Method 3: Other Potential Issues

    If the above methods don't work, check for these less common issues:

    • Check for cell editing mode: The Orientation button will be grayed out if you are currently editing a cell's contents (double-clicked into a cell or in the formula bar). Press Enter or Esc to exit cell editing mode.
    • Check for grouped worksheets: If multiple worksheets are selected (you'll see [Group] in the title bar at the top of the workbook), many page setup options are disabled. Right-click on any sheet tab at the bottom of the window and select Ungroup Sheets.
    • Check file protection: The workbook or specific sheets might be protected. Go to the Review tab and check if there is an Unprotect Sheet or Unprotect Workbook button. 

    Hopefully, one of these steps will resolve the issue and allow you to continue working on your church files in landscape orientation.
