Hi -

I'm having many problems searching my Outlook calendars. It has become much worse recently.

I have 8 Outlook accounts with different email addresses. Four of those accounts have active calendars that I use frequently. They are always displayed on my calendar screen. The other 4 calendars are not used.

Recently, I am encountering multiple, daily problems searching for calendar events.

  1. How to set the default calendar? Outlook is no longer searching in my default calendar as a 1st choice. As a result, it frequently returns "No results found"
  2. Calendars are de-selected after every search. After every search recently, Outlook deselects 3 of my 4 main calendars. I need to add them back in by re-selecting them. This is time-consuming
  3. Outlook search is failing to find all reasonable occurrences.
    1. I was searching for a calendar meeting using the person's first & last name. Outlook failed to find the calendar events that only used that person's first name
    2. I searched on Payroll Quarterly and Outlook failed to find occurrences with Payroll Backup Quarterly

Can I set up an appointment with an Outlook specialist to discuss how to diagnose and solve these problems?

To address the issues you're experiencing with Outlook Calendar search, here are some suggestions:

    1. Setting the Default Calendar: Unfortunately, the context does not provide specific instructions on how to set a default calendar in Outlook. However, typically, the default calendar is the one that is set as the primary in your account settings. You may want to check your account settings to ensure that the desired calendar is marked as the default.
    2. Calendars Being De-selected: This issue can be frustrating, and while the context does not mention a direct solution, it could be related to how Outlook handles multiple calendars. Ensure that your Outlook is updated to the latest version, as updates often fix bugs and improve functionality.
    3. Search Functionality: For the search issues, consider using the Advanced Search feature in Outlook, which allows you to set specific criteria, including date ranges and keywords. This might help in retrieving results that are not showing up in a standard search. The context mentions that searches initiated in the Advanced Search window include your time zone, which can also affect results.

If these issues persist, it may be beneficial to run diagnostics using the Microsoft Support and Recovery Assistant, which can help identify and resolve problems with your Outlook setup.

For further assistance, you may want to contact Microsoft support directly or schedule an appointment with an Outlook specialist to diagnose and resolve these problems more effectively.

My default calendar is set appropriately. Outlook is updated to the latest version. I shouldn’t need to use Advanced search. My searches are simple searches. For example: Find a name in my calendar (first, last, or first & last name). What further suggestions do you have?

Hi, I understand how much you rely on your calendars, so let’s get this sorted out. What’s happening is Outlook is prioritizing the default data file for searches, and when multiple calendars are active, it sometimes resets the view after a search. That’s why some calendars disappear and why searches don’t always return partial matches. First, check which calendar is set as your default by going to File then click Account Settings and then Data Files and setting the one you use most. Next, try using Advanced Find (Ctrl+Shift+F) instead of the quick search bar, it keeps all calendars selected and allows broader matching. Also, confirm your search index is up to date under Search Tools then click Indexing Status, and if it’s incomplete, rebuild it in Options then click Search then go to Indexing Options and then Advanced then Rebuild. Can you tell me if you’re using Outlook desktop or web, and which version? That will help me tailor the steps for you.Regards,
    Aron
