Why Does Outlook for Mac not let me add a meeting invitee with the option of not sending to the exiting invitees?

Using OWA or Windows Classic Outlook, if I open an existing meeting on my calendar to add a new invitee, I get an option to send the invitation to just the new person instead of also resending to the existing invited participants.

I do not get that follow-up choice in Outlook for Mac. Is this another joyful "New Outlook" feature amputation or is there some other way to do this. Do I have to use OWA for this?

Outlook for Mac currently does not provide the option to add a new invitee to an existing meeting without sending an update to all existing participants. This behavior differs from Outlook on the Web (OWA) or the Windows Classic Outlook, where you can choose to send the invitation only to the new participant without notifying the others. Unfortunately, as of now, if you want to add a new invitee without notifying existing ones, using OWA or the Windows version of Outlook would be necessary.

    Hi George Tobin

    Welcome to Microsoft Q&A Forum!

Have a good day and I hope you're doing well!

Thanks so much for reaching out. I completely understand why this behavior feels confusing, especially when Outlook on Windows or OWA gives you a clear choice before sending meeting updates.

Before going further, just to confirm: is this the option you are referring to?   User's image

Based on my research and after performing additional testing, the New Outlook for Mac does not currently include this option. Unlike Outlook for Windows (Classic) or Outlook Web App, the Mac version does not ask whether you want to send updates only to added or removed attendees.

Whenever you add someone to an existing meeting, Outlook for Mac will always send a meeting update to all attendees, both existing and newly added.

    • This is not a “resend invitation.”
    • It is simply a calendar update, ensuring all participants’ calendars stay consistent.

If you’re concerned that already‑accepted users will receive a completely new invitation again, you can be reassured: Outlook for Mac does not resend the original invitation.  It only sends a standard update to synchronize the meeting details.

Do you need to switch to OWA or Windows? Not necessarily

If the only reason is to avoid resending meeting invitations, then switching isn’t required. You can continue using whichever Outlook client best fits your workflow.

I hope this clarification helps you understand the behavior on Outlook for Mac. If you have any other questions or need more details, feel free to let me know. I’m happy to assist!
