I used to be able to save a multi-sheet Excel workbook into a PDF format. Why am I no longer able? It only saves one sheet.

    Hi Neal,

Thanks for reaching out. I understand how frustrating it can be when a feature you’ve relied on suddenly starts working differently. I'm here to help!

First, the most common reason Excel only saves one sheet as a PDF is that the export option defaults to the active sheet. To fix this, go to File > Save As or Export > Create PDF/XPS, click Options, and choose Entire Workbook instead of Active Sheet.

Second, make sure all sheets have the same page setup like paper size, orientation, and print quality. If these differ Excel may split them into separate PDFs.

Third, if you only need specific sheets, you can Ctrl or Shift‑select those tabs before exporting, then choose the appropriate option in the PDF settings.

Last, if it still doesn’t work, it could be a bug or driver issue. Alternatives include using Adobe Acrobat, Power Automate, or a VBA macro to combine sheets into one PDF.

I hope you find this information helpful. Please let me know if you have any further questions If the answer is helpful, please click "Accept Answer".

If you are unable to save a multi-sheet Excel workbook as a multi-sheet PDF, it may be due to several factors. Here are some common reasons and potential solutions:

    1. Excel Version: Ensure that you are using a version of Excel that supports saving multiple sheets as a PDF. Some older versions may have limitations.
    2. File Format: Check if the workbook is saved in a compatible format. Sometimes, saving the workbook in a different format (like .xlsx) before exporting to PDF can resolve the issue.
    3. Print Settings: Review your print settings. If the sheets are set to print in a certain way (like only the active sheet), it may affect the PDF output. Make sure all sheets are selected for printing.
    4. Updates: Ensure that your Excel application is up to date. Sometimes, bugs in earlier versions can cause issues that are resolved in updates.
    5. Add-ins or Macros: If you have any add-ins or macros running, they might interfere with the PDF saving process. Try disabling them to see if it resolves the issue.

If none of these solutions work, you may want to consult the Microsoft support documentation or forums for further assistance.
