Company Email - Logging into Admin Account (Office Manager Not Working Anymore)

Hello,

Our Company's Office administrator is no longer working with us, and while she was she had access to our admin email. She sent all of the necessary login information, but when we go to sign in we cannot get past the authenticator app. We are not able to get ahold of her, and now we are locked out of the admin email.

We have the email and password. How can we log in to the admin email without having access to the authenticator, or switch the authenticator to another device.

NOTE: When we tried adding this email to our authenticator app, it asked us to authenticate the login. I am going in circles and keep getting back to the authenticator.

    If the former Office Manager was the only person who had MFA configured and you can no longer approve the authentication prompts, you will need to explore your available recovery options. The first thing to check is whether your organization still has another Global Administrator or a Break‑Glass emergency account. If your company has an internal IT team, it is best to reach out to them as they may already have access to one of these accounts.

    If another Global Admin exists, that administrator can sign in to the Microsoft 365 Admin Center and reset the MFA settings and password for the locked‑out account. This can be done by opening the Admin Center through this link https://admin.microsoft.com, going to Users, selecting Active Users, choosing the affected account, and then opening the Multifactor Authentication settings to disable or reset MFA.

    Based on my own experience and research, I’d like to add a few more details, especially because I understand how urgent this situation is for your business and how important it is for you to regain access as quickly as possible. 

    Since your company only had one single Global Admin, you need to take important steps to contact Microsoft Support directly to regain your admin account access. This includes two options: 


    Option 1: Request MFA Reset via Microsoft Global Customer Service.          

    Since you can't access the admin center, you can try contacting our global customer service by phone and requesting a reset of your authentication method here: Customer service phone numbers - Microsoft Support 

    User's image During the call, ask to speak to an agent and provide them with all the details about your request. This will allow you to contact the relevant team to resolve the incident as quickly as possible.        

    Here are some tips and an example of a prompt to help you use the IVR system more effectively: 

    Important: When using an automated voice system, you make sure to clearly say "Commercial Account and Billing Support". This is the keyword for forwarding your call to a human agent.     

    In some countries, it's an automated conversation like: When you call the hotline, you'll first be asked the following:        

    IVR: What is the problem?        

    You: Lost access to the administrator account due to MFA.  

    IVR: What product do you use?        

    You: Office 365 Business.        

    IVR Confirmation: Education or Corporate Account
