How can I create a task in MS Planner that is private for only the person I send it to?

We currently have all of our TEAM in MS Planner. We would like to use Send to Planner from our email to a Company Plan that everyone in the company has access to. But, we would like the option to send something to planner to one person, and only that one person be able to see it. is there a way to create a private task, or send to planner where no one can access or view it other than the person we send it to?

In Microsoft Planner, tasks are generally associated with a plan that is shared with a group, meaning that all members of that group can see the tasks within that plan. Currently, there is no feature that allows you to create a completely private task within a shared plan that only one person can view.

However, you can create private tasks in a personal plan. Each user has the option to create their own private tasks in their personal space, which will not be visible to others. This means if you want to send a task to someone privately, you would need to create a separate personal plan for that user or use their personal task space.

If you are using the "Send to Planner" feature from email, it will add tasks to the shared company plan, and those tasks will be visible to all members of that plan. Unfortunately, this does not support the privacy requirement you mentioned.

No — Microsoft Planner does not offer private tasks within a shared plan.

This is a design limitation of the service, not a setting that can be enabled.

In Planner, every task created within a Plan is visible to all members of that Plan, even if the task is assigned to only one person.

Why this works this way

Planner is a team planning system, not a private task system.

It was designed to provide complete transparency within each plan.

The “Send to Planner” feature:

Always creates the task within a specific Plan

And inherits the permissions of that Plan

Therefore, there is no way to hide a task within the same plan.

What you can do to have “private” tasks

Option 1 — Create a separate Plan per person (recommended)

Create a unique Plan for each employee:

Example:

“Planner – John”

“Planner – Mary”

“Planner – Finance”

Add only:

The employee

And, if necessary, the manager

Then, in Send to Planner, choose the correct plan.

This way, only those who are part of that plan will see the task.

Option 2 — Use Microsoft To Do (for individual tasks)

If the task is truly private, it should go to:

Microsoft To Do, not Planner.

You can:

Use “Send to To Do”

Or integrate via Outlook

These tasks:

Are visible only to the user

Do not appear to the team.

Within the same Planner Plan: There are no private tasks.

For confidentiality:

Use separate plans, or

Use Microsoft To Do for personal tasks.
