Think I've set up two Microsoft accounts unintentionally and subscription linked to the wrong email address. Help!

Hi, I think I've made more a mess of this trying to resolve it so please be kind (not usually so technically incompetent) and hope someone can advise a way to resolve this somehow...

I set up an annual subscription for Microsoft Office with a gmail account I have in April last year. I then set up Outlook and had both the gmail account and a new @outlook email in the same inbox. All worked fine. At a later date, I decided I wanted a more professional email address (let's call it email address 3) for my work so I have since set up a new email address for my work which I added to my Outlook (a bought email address, not @outlook address) and receive emails fine in Outlook.

All was working fine, pretty much. However, today I tried to set up a Teams meeting in the calendar of my email address 3 and it wouldn't give me the option, instead prompting me to 'sign in'. When I clicked on the sign in, it opened the Teams app on my computer but it was linked to my gmail address. I tried to log in to Teams using my email address 3 and that seemed to work but when I set up a Teams meeting in the app it didn't sync to my outlook calendar.

So, having done a bit of research that I needed to add the email address to my subscription account, I tried to do this but it said that email address already existed for another account. I assume in logging into Teams I've somehow set up a new account.... and therefore I can't add that email address to my subscription account and I assume that the reason I can't sign in to Teams on my outlook for email addresss 3 is because there isn't a paid subscription linked to it.

My question is this - is there any way I can resolve the mess above or am I best setting up a new subscription linked to email address 3 and then cancelling the one linked to my gmail so I can access everything on one email address? Also, if I close the original account, does that still mean I can't use the gmail or the outlook address with microsoft again?

If any of the above doesn't make sense, please let me know. I'm not sure when I've done what so making some assumptions here that may not be right.

Thank you.

    Hi,

Thank you for sharing your question. You’ve explained that your Microsoft 365 subscription is linked to your Gmail account, but you now have multiple email addresses in Outlook and Teams, and it seems Teams is tied to the wrong account.

It’s understandable to feel frustrated when accounts and subscriptions don’t align, especially after trying to fix it yourself it happens to many users.

Reason and Resolution: What’s happening is that Microsoft subscriptions are tied to a single Microsoft account, and email addresses can’t be merged across accounts. When you signed into Teams with your work email, it likely created a separate Microsoft account without a subscription, which is why Teams doesn’t sync with your Outlook calendar. The subscription benefits remain with the original account (your Gmail), and Microsoft doesn’t allow transferring subscriptions between accounts. The best resolution is to keep using the Gmail-linked account for subscription services or cancel and repurchase under your preferred work email. Closing the original account will not free up the email for reuse it will remain associated with that account.

    I hope this helps.

    Best Regards,

    Noel

It sounds like you're experiencing a common issue with multiple Microsoft accounts and subscriptions. Here are some steps you can take to resolve the situation:

    1. Identify Your Accounts: Make sure you know which email addresses are associated with which Microsoft accounts. You can do this by trying to sign in to each account and checking the subscriptions linked to them.
    2. Check Subscription Status: If you have a subscription linked to your Gmail account, you can check its status by signing into the Microsoft 365 admin center or your account portal. This will help you confirm which account has the active subscription.
    3. Adding Email Address to Subscription: If you want to add your new work email (email address 3) to your existing subscription, you may need to contact Microsoft support. They can assist you in resolving the issue of the email address already being associated with another account.
    4. Consider New Subscription: If it's too complicated to merge the accounts or if you prefer to have everything under one email, setting up a new subscription linked to email address 3 might be a good option. You can then cancel the subscription linked to your Gmail account if you no longer need it.
    5. Closing Accounts: If you decide to close the original account, you should be able to use the Gmail or Outlook address again in the future, but it’s best to confirm this with Microsoft support to ensure there are no restrictions.
    6. Syncing Teams and Outlook: To ensure that Teams meetings sync with your Outlook calendar, make sure you are signed into Teams with the same account that is linked to your Outlook calendar. If you have multiple accounts, this can sometimes cause sync issues.

If you need further assistance, reaching out to Microsoft support can provide you with tailored help based on your specific situation.
