Teams Transcribe

Question

hi, i have microsoft 365 personal, i want to be able to record and transcribe in teams, but its only letting me record, why is this ?

Based on your description, you have Microsoft 365 Personal and you can record meetings in Teams, yet the option to start a transcript is missing. I truly appreciate the steps you have already taken and the clear context you shared, which helps us guide you efficiently.  Transcription in Teams is tied to work or school tenants where an administrator enables it through meeting policies. Consequently, consumer Personal or Family accounts do not expose the admin‑controlled transcription button inside Teams meetings. At the same time, recording is available to Personal and Family subscribers, which explains why you can record even when the transcript option does not appear. 

Below are a few practical solutions that could best fit your current needs:  

1/ Use live captions during the meeting 

• During the meeting, select More actions then Language and speech then Show live captions.  
• This provides real time on‑screen text for you, although it is not saved as a transcript.

2/ Create a transcript after the meeting with Transcribe in Word on the web 

• First, download the Teams recording. 
• Next, go to office.com, open Word for the web, choose Home then Dictate then Transcribe, and upload the recording to generate an editable transcript that you can review and save.

3/ Use a work or school account when you need transcription inside Teams 

• If you have access to an organizational account, ask your IT admin to turn on Allow transcription in the Teams admin center under Meetings then Meeting policies.  
• After that, in a meeting you can select More actions then Record and transcribe then Start transcription.

4/ Ask the organizer to start transcription when you join another organization’s meeting 

• Only the organizer or a presenter in the organizer’s tenant can start transcription.  
• Therefore, request that they start it and share the transcript with you after the meeting.

In Microsoft Teams, the ability to transcribe meetings is dependent on the licensing and settings configured within your organization. Since you mentioned that you have Microsoft 365 Personal, it's important to note that transcription features may not be available for personal accounts. Typically, transcription is available for users with business or enterprise licenses, such as Microsoft 365 Business or Teams Premium.

To enable transcription, the admin must also set the appropriate policies in the Teams admin center. If you are using a personal account, you may not have access to these features, which is why you can only record and not transcribe.

For further assistance, you might want to check if upgrading to a business plan would provide the features you need.
