Move emails from exchange server to IMAP

I'm currently using Office 365 Professional on an Exchange Server on Godaddy.com. I no longer need this level because the business is closed. I want to migrate to Office 365 Individual. Can anyone give me the steps to save my current emails, contacts, and calendar appointments so that I can upload them to a new email on gmail?

Also, is there a way to redirect any emails that come to my business email to my personal email without changing all of my accounts and contacts?

Thanks,

Mary

Hello mary, thank you for posting in the community.

The GoDaddy Microsoft 365 mailbox you are using is a Work or School Exchange account, and this type of account cannot be converted to Microsoft 365 Individual. The supported approach is to export your mailbox data using the Classic Outlook desktop application by creating a PST file, migrate your email to Gmail using IMAP, and then import your contacts and calendar separately. To avoid missing any messages during the transition, you can also enable Exchange-side email forwarding so that messages sent to your business address continue to arrive in your personal inbox.

Kind regards,

John Oli

To migrate your emails, contacts, and calendar appointments from an Exchange Server to a new Gmail account, you can follow these general steps:

  1. Export Emails from Exchange Server:
    • Use Outlook to connect to your Exchange account.
    • Go to File > Open & Export > Import/Export.
    • Choose Export to a file and select Outlook Data File (.pst).
    • Select the folders you want to export (including inbox, sent items, etc.) and save the .pst file.
  2. Export Contacts and Calendar:
    • For contacts, you can also export them from Outlook by choosing People in the navigation pane, then selecting File > Open & Export > Import/Export > Export to a file > Comma Separated Values (CSV).
    • For calendar appointments, you can export them similarly by selecting the calendar and following the same export steps.
  3. Import to Gmail:
    • Log into your Gmail account.
    • Go to Settings > Accounts and Import > Import mail and contacts.
    • Follow the prompts to import your emails from the .pst file (you may need to use a third-party tool to convert .pst to .mbox format for Gmail).
    • For contacts, go to Google Contacts, click on Import, and upload the CSV file.
    • For calendar appointments, go to Google Calendar, click on the gear icon, select Settings, and then Import & Export to import your calendar.
  4. Redirect Emails:
    • You can set up email forwarding from your business email to your personal email. This can typically be done in the settings of your Exchange account. Look for an option like Forwarding or Email Forwarding and enter your personal email address. This way, any emails sent to your business email will be redirected to your personal email without needing to change all your accounts and contacts.

Make sure to verify that the forwarding works correctly after setting it up.
