I am a teacher and I have thousands of documents in Publisher

I am a teacher and I have thousands of documents in Publisher some of which I change each year with different information such as student's names and dates and such. What program would you suggest I use since you are getting rid of Publisher and leaving customers high and dry. Canva is NOT comparable. Word is not the answer, power point is NOT the answer. Saving things in PDF is not going to help for files and documents that change each year. I have been using Publisher since day 1 and I will no longer even be able to access the files or change anything after October 2026? This is unacceptable. Any suggestions.

You might try looking into using Affinity Publisher. It's free.

You can use it to import and edit your Publisher files, if you first convert them to PDF. But you may get better results, if you convert the Publisher files directly to Affinity using a 3rd party tool: https://markzware.com/markzportal/converting-microsoft-publisher-to-affinity-publisher/

Adobe InDesign is also an option. It's a subscription, and their lowest plan is about $275 per year which is pricey. But again, you would need to convert your Publisher files to InDesign using a 3rd party tool.

    Dear @Cherise Cotter,
Thank you for posting your question in the Microsoft Q&A forum. I understand that you’ve been using Publisher for many years, and you have thousands of documents you update every school year with new student names and dates. The tools suggested to you like Word, PowerPoint, Canva, or saving as PDF do not support the way you work because you need to edit, not just view.

To reassure you: you will not lose access to your files if you use the standalone Publisher 2021 version.

Microsoft confirms that Publisher 2021 (the perpetual, one‑time‑purchase version) will continue to function after October 2026, even though it will no longer receive updates. This means you can keep opening, editing, and reusing your templates every year just as you do today.

If you decide to get Publisher 2021, you may find it through trusted IT marketplaces or authorized software retailers.

However, please be careful, many third‑party listings online may be outdated, unofficial, or unsafe. Always ensure:

    The seller is reputable

    The license is genuine

The product is clearly labeled as Publisher 2021 standalone, not a Microsoft 365 subscription

This is important because Microsoft no longer sells Publisher 2021 directly on its store, and availability varies.

Microsoft also recommends newer tools like Word, PowerPoint, and Designer. However, these do not open .PUB files directly, they are only future alternatives if you choose to switch later.

Please understand that our initial response does not always resolve the issue immediately. However, with your help and more detailed information, we can work together to find a solution.

I truly appreciate your patience and understanding. If you have any further questions or need further clarification, please feel free to reach out. I'm looking forward to hearing from you.

    Thank you for your cooperation.

If you're looking for alternatives to Microsoft Publisher, especially for educational purposes where you frequently update documents, you might consider using LibreOffice. It's an open-source suite that includes a desktop publishing tool called LibreOffice Draw, which can handle many of the tasks that Publisher does. It is compatible with Microsoft Office formats, allowing you to open and edit your existing Publisher files.

Another option is Scribus, which is also a free and open-source desktop publishing application that provides professional-grade features. It may require a bit of a learning curve, but it offers robust tools for creating and editing documents similar to those you would create in Publisher.

These alternatives can help you manage your documents without the limitations you are concerned about with Publisher's future support.
