To clarify, in Classic Outlook for Windows, Quick Steps are mainly accessed from the Ribbon on the Home tab rather than from the right‑click menu. Because of this, what you’re experiencing is actually expected behavior. Quick Steps are designed to help you perform one or more actions, such as moving an email to a folder, forwarding it to someone, or marking it as done with just a single click.
With that in mind, here are a couple of options you may find helpful:
Option 1: Create a Quick Step to “save” an email to a folder
First, in Outlook, switch to Mail and open the Home tab.
From there, in the Quick Steps group, select Create New.
Next, give your Quick Step a clear name, for example: "Save to Projects".
Under Actions, choose the action you want to add, for example here, I chose "Move to folder" and select the folder where you’d like the email to be saved.
If you’d like, you can also select Add Action to include additional steps, such as marking the message as read, categorizing it, or flagging it.
Then choose the shortcut key you want.
Once everything is set, click Finish.
After that, to use the Quick Step, simply select an email and click your newly created Quick Step from Home > Quick Steps.
As a quick reminder, some Quick Step actions, such as permanent deletion, can’t be undone. For that reason, it’s a good idea to test your Quick Step on a non‑critical message first.
Option 2: Manage or edit Quick Steps from the Ribbon
Even though Quick Steps don’t appear in the right‑click menu, you can still manage them easily from the Ribbon:
On the Home tab, open the Quick Steps group and select the More arrow, then choose Manage Quick Steps.
From there, you’ll be able to edit, reorder, or create additional Quick Steps as needed.
