How to setup Governors on to Teams without granting excessive access

Hi there,

I've been asked to explore how we can setup our Governors onto Teams. I want to allow them to access to a centralised channel, ability to create calendar events, and review documents. However I want to avoid them having access to too much else.

Additionally they have personal emails rather than trust domains.

Any help would be appreciated!

    Hello @Mark Roon

Welcome to the Microsoft Q&A Community!

Thank you for the opportunity to assist. To ensure I recommend a configuration that aligns with your governance, security, and user experience goals, please provide details for the areas below.

1/ What level of access should Governors have?

    • Do they only need to view documents, or will they also be uploading/editing?
    • Should they be allowed to post in channels or just read messages?

2/ How do you want them to join meetings?

    • Should they be able to create calendar events/meetings, or only join ones scheduled by staff?
    • Will meetings always be scheduled inside Teams channels, or through Outlook?

3/ What email types will they use?

    • Are all Governors using personal email domains (e.g., Gmail/Outlook/Yahoo), or do some have organisational addresses?

4/ What security restrictions are important?

    • Should Governors be fully prevented from accessing other Teams across the tenant?
    • Do you require MFA for their guest accounts?

5/ What document storage model do you prefer? Will all Governor documents live inside Teams (SharePoint), or are there external repositories they need to access?

6/ What is your current Teams environment?

    • Do you already have Guest Access enabled at the tenant level?
    • Do you use any existing governance policies or templates for special groups?

Once I have your responses, I will propose a detailed configuration plan. I look forward to your updates.
