How to make MS Shifts print display by hours not by team members?

I'm using MS Shifts in Teams to manage a group schedule. I would like to have a weekly printout for the team at the Front Desk. However, the printed schedule was organized by team members not by hours. Therefore the printed schedule was messy. The first shift could start with 12pm -- 1pm instead of 8am to 9am, for instance. Can it be fixed?

    Dear @Wu, Lin,

Good day. Thank you for posting your question in the Microsoft Q&A forum!

First of all, I want to begin by sincerely apologizing for the frustration and inconvenience this issue has caused you.

I truly understand how inconvenient and frustrating this situation can be especially when you depend on a clear, time‑based schedule to keep Front Desk operations running smoothly.

To better support you, I tested this behavior in my own test environment and, unfortunately, I am experiencing the same issue. At the moment, Microsoft Shifts prints schedules grouped by team members rather than by hourly time slots. There is currently no option to change the printed layout to a fixed, hour‑by‑hour view (for example, consistently starting from 8:00–9:00).

I completely understand how disappointing this can be. As a temporary workaround, as also mentioned by the Q&A AI Assist above, you may consider exporting or recreating the schedule in Excel. This allows the schedule to be reorganized by time slots, which often results in a much clearer and more front‑desk‑friendly format when printed.

I understand this may not fully meet your expectations, and I apologize for any inconvenience this design limitation may cause. Your feedback has been duly noted and is highly valued, as it provides with essential insights to continue improving and refining the products and services in the future. In this case, I sincerely recommend you go to Feedback community to vote this similar feedback: (find out similar feedback, if not provide the feedback forum link Ideas · Community). Our product team is in charge of the site, and they constantly check customer reviews and feedback. The higher votes, the more attention the related team will pay on. And a lot of the features are developed and improved based on customer feedback.

Please notice and accept my apologies that as moderators in the community, we are not supported for the product design and have limited resources for the advanced info for Microsoft products. As I have already reported to the product team, if any updates or announcements are made regarding this feature, I will make sure to share them with you as soon as possible.

Again, I truly appreciate your patience and understanding. If you have any further questions or need clarification, please feel free to reach out. I'm looking forward to hearing from you.

Currently, Microsoft Shifts does not provide a built-in feature to print schedules organized by hours instead of by team members. The printed schedule is designed to display shifts by individual employees, which can lead to a layout that may not be ideal for your needs at the Front Desk.

To work around this limitation, you might consider manually adjusting the layout of the printed schedule or exporting the data to another format (like Excel) where you can rearrange it as needed before printing. This way, you can create a more organized view by hours.

For any specific feature requests or feedback regarding the printing options in Shifts, you can submit your suggestions through the feedback option in the Shifts app. This feedback can help influence future updates to the application.
