    Hello Kimberly Loeb,

    Welcome to Microsoft Q&A!

I understand how frustrating it is when a message you saw yesterday seems to have vanished, especially when you encounter an error message stating it "has not been downloaded" while trying to forward it.

Based on your description—specifically the error "This message has not been downloaded from the server"—it is highly likely you are using Classic Outlook. This specific error indicates a synchronization conflict where the "header" (the subject line and sender info) arrived on your computer, but the actual body of the email was never pulled down from the server.

Please follow the steps below to locate the message and force a synchronization.

Step 1: Verify the Message on Webmail

To ensure the message hasn't been removed by the sender or the server, let's first check if it is visible online.

    1. Open a web browser and log in to your email provider's website (e.g., outlook.office.com or outlook.live.com).
    2. Search for the message there.

If the message is missing on the web: It was likely recalled by the sender or permanently deleted.

If the message is present on the web: The issue is isolated to your Outlook desktop settings, and we can proceed to Step 2.

Step 2: Force a "Full Item" Download

If the message exists on the web but shows the download error in Outlook, your view settings might be set to "Headers Only."

    1. Open Classic Outlook and navigate to the folder where the message should be.
    2. Click on the Send / Receive tab at the very top of the window.
    3. Click Update Folder to force a refresh.
    4. If the body still does not appear, look for the Download Preferences button on the same Send / Receive tab.
    5. Ensure Download Full Items is selected.

Note: If "Download Headers" was checked, this was the cause of the error. Unchecking it will allow the full message body to load.

    1. Click Update Folder one last time.

I hope this explains what has transpired with the missing message content. Please let me know if these steps help you retrieve the email.

    Best regards,

If you are unable to find a message in any folders, including the Inbox, Junk, or Deleted Items, it may be due to several reasons. One common issue is that the message has not been fully downloaded from the server, which can happen if you are using Cached Exchange Mode in Outlook. In this case, the message may be temporarily hidden and not processed properly by Outlook.

To troubleshoot this issue, you can try the following steps:

    1. Check your Internet connection to ensure that Outlook can connect to the server and download messages.
    2. Switch to Online Mode: If you are using Cached Exchange Mode, try switching to Online Mode to see if the message appears. You can do this by going to the Send/Receive tab and selecting "Work Offline" to toggle it off.
    3. Use Advanced Find: If the message is still not visible, you can use the Advanced Find feature to search for the message in all folders. This can help locate items that might be filtered out or hidden.
    4. Check Filters: Ensure that no filters are applied to your view settings that might be hiding the message. You can reset the view settings to default to see all items.

If the issue persists, it may be helpful to check if there are too many folders in your mailbox, as this can also affect visibility in Outlook on the web.
