Subject: Request for Assistance – Recovering Deleted Emails

Hello,

I recently noticed that some emails from my account appear to have been deleted, including messages from my inbox from 2 weeks ago, sent folder, and deleted items. I am trying to retrieve emails from 30 days ago and possible approximately six months ago for a work-related project.

Could you please advise whether it is possible to recover these messages and what steps I should take?

I would appreciate any assistance you can provide.

Thank you in advance for your help.

Best regards,

    Hello @Mistretta, Aldo,

Welcome to the Microsoft Q&A Forum and thank you for your question.

Before I look further into your question, may I first check whether you are an end user in your organization, or whether you are the IT administrator for the Microsoft 365 tenant?

If you are an end user, please let me know whether you have already checked both the “Deleted Items” folder and the “Recoverable Items” area in your mailbox. Those are the only locations where a user can restore deleted messages independently.

If you’ve already checked both places and the emails are no longer there, then the next step is to contact your organization’s IT administrator so they can verify whether those messages can still be recovered. At this point, everything depends on the company’s retention policies, and only the IT admin can see those settings or run a deeper recovery. Because retention rules vary from tenant to tenant, there is a possibility that the messages may no longer be restorable, and I want to mention this gently, so expectations are clear.

For your convenience, or for your IT admin to review, here is Microsoft’s official documentation on how deleted messages can be recovered at the admin level: Recover deleted messages in a user's mailbox in Exchange Online | Microsoft Learn

If you are actually the IT admin, please let me know whether you have already followed the steps in that article. Once I have your confirmation, I can guide you further based on what you have already tried.

If anything is unclear or if you need more help, feel free to reply, I’m here to assist.

Please understand that our initial response does not always resolve the issue immediately. However, with your help and more detailed information, we can work together to find a solution.

    Kind regards,

To recover deleted emails, you need to consider the following:

    1. Deleted Item Retention: In Exchange Online, the default retention period for deleted items is 14 days, but it can be extended up to 30 days. If the emails you are trying to recover were deleted within this retention period, you may be able to recover them.
    2. Recovering Emails: If the emails are still within the retention period, you can use the following steps to recover them:
      • Open Outlook or Outlook on the web.
      • Go to the Deleted Items folder.
      • Look for an option to Recover Deleted Items. This option allows you to recover items that have been purged from the Deleted Items folder.
      • Select the emails you wish to recover and follow the prompts to restore them.
    3. Admin Recovery: If the emails were purged and you are unable to recover them, an administrator may still be able to recover them if the deleted item retention period has not expired. They can use the Exchange Admin Center (EAC) to search for and recover deleted items.
    4. Older Emails: For emails that are approximately six months old, if they were deleted and the retention period has expired, they may not be recoverable unless specific retention policies were applied to your mailbox.

If you need further assistance, it may be helpful to contact your IT department or the administrator responsible for managing your email account.
