    Dear @Caroline Downes,

    Welcome to Microsoft Q&A.

I’m very sorry to hear about the difficulties you are facing with your account. I understand how confusing it can be when a personal email address you have used for years is suddenly flagged as a "Work/School" account, preventing you from signing in or managing your settings effectively.

Based on your description, I’d like to clarify that this issue often occurs when a third-party email address (like Sympatico) is used to sign up for self-service Microsoft business products (such as Microsoft Teams Free or Power BI). This creates a "shadow" directory in Microsoft Entra ID (formerly Azure AD), causing Microsoft’s systems to treat your personal email as if it belongs to an organization.

To resolve this conflict and regain control over your account, we need to bypass the organizational sign-in prompt by establishing a native Microsoft identity.

Please follow these steps carefully to fix your account aliases:

Step 1: Access via InPrivate/Incognito Window

    1. Open a New InPrivate Window (Edge) or Incognito Window (Chrome).
    2. Navigate directly to Manage how you sign in to Microsoft.
    3. Enter your Sympatico email address.
    4. If prompted to choose between "Work or School Account" and "Personal Account," please select Personal Account.

Step 2: Create and Set a Native Outlook Alias

If you are still encountering "Organization Policies" errors, it is because the system is struggling to distinguish your personal identity from the "shadow" work identity. We need to give the personal account a unique Microsoft name.

    1. On the "Manage how you sign in" page, click Add Email.
    2. Select the option: Create a new email address and add it as an alias.
    3. Create a new address (e.g., ******@outlook.com) and click Add Alias.
    4. Once added, locate this new @outlook.com address in the list and click Make Primary.

Note: This action updates the backend identifier for your personal account, separating it from the "Work/School" conflict.

Step 3: Cleanup and Add Gmail

Now that the account has a primary Microsoft identity, you can manage your third-party emails.

    1. Log out and log back in using the new @outlook.com address you just created.
    2. You may now attempt to Remove the Sympatico address if you no longer wish to use it as a login username.
    3. Finally, click Add Email again and select Add an existing email address as a Microsoft account alias to add your Gmail address.

I truly hope the information above helps clarify why this conflict is happening and points you toward the right next step. I understand how complex these identity issues can be, and I sincerely hope this resolves your access issues.

To change the primary email alias in Microsoft 365, you need to ensure that you have the appropriate permissions and that your organization's policies allow for the change. If you are encountering a message that states your organization's policies won't let you change the primary alias, it may be due to the following reasons:

    1. Admin Role: Ensure that you are a member of the correct admin role that allows you to change user email addresses. You need to be a user administrator to make these changes.
    2. Email Address Policy: Your organization may have specific email address policies in place that restrict changes to primary aliases. If this is the case, you may need to consult with your IT department or the person responsible for managing these policies.
    3. Tenant Setup: If you have recently added a custom domain or if the tenant setup is still in progress, it may take some time for changes to propagate. In such cases, waiting for a few hours and trying again may resolve the issue.

If you continue to face issues, consider reaching out to Microsoft support for assistance with your organization's policies regarding email aliases.
