I understand how inconvenient it is to see a gap in your mailbox, especially when emails are missing between October and today. Below are the most common reasons this issue can occur, along with the steps you can use to check each one:
A view or filter is hiding messages: Sometimes a filter or customized view causes emails to disappear from the list even though they are still in the folder.
- Focused Inbox is separating your messages: Focused Inbox splits your messages into Focused and Other, and emails in one tab may seem missing if you only view the other tab.
- Rules or Sweep settings have moved messages: Inbox rules or Sweep actions may automatically move or delete messages, sometimes based on date or sender.
- Messages were deleted but are still recoverable: Even if Deleted Items has been emptied, emails may still be recoverable from the Recoverable Items area.
- AutoArchive or an Online Archive moved older mail: Depending on configuration, messages may have been moved to an Archive folder or an In-Place Archive mailbox.
- Retention policies managed by the organization: If your organization uses retention policies or labels, messages may be moved or deleted automatically based on age or folder rules.

Ensure your Windows operating system and New Outlook desktop app are fully updated.
Option 1: Check Outlook on the web
Clear your browser cache for “All time” > Sign in again at office.com with your work account, Select Apps > Outlook.
Review the same folder where emails appear missing.
If messages appear in OWA, the issue is specific to the Outlook client settings.
If they are not visible, go to Deleted Items and check Recover items deleted from this folder.
Option 2: Clear filters or custom views
Open the folder where emails appear missing.
Select View.
Clear any filters related to date, read or unread status, category, or size.
Reset the view to default if available.
Option 3: Review Focused Inbox
Go to your Inbox.
Switch between the Focused and Other tabs.
Option 4: Review Rules and Sweep settings
Open Settings.
Select Mail then Rules.
Review any rule that moves, deletes, or redirects messages.
In Outlook on the web, also check Sweep settings for any automated cleanup actions.
Option 5: Check Deleted Items and Recoverable Items
Open Deleted Items.
Select Recover items deleted from this folder.
Restore any messages you recognize.
Option 6: Review Archive folders
Look for a folder named Archive within your mailbox.
If your organization uses an Online or In‑Place Archive, check below your primary mailbox to see if the missing emails were moved there.

Option 7: Clear Outlook cache
Refreshing the cache can resolve unexpected client-side behavior.
Close the Outlook app completely.
Open the Run dialog by pressing Windows + R.
Type or paste the following command and click OK:
olk.exe --devtools
The new Outlook will open (you may need to sign in), and the DevTools window will appear.
In DevTools:
Click Application on the toolbar.
Clear local storage cache: Under Storage, find https://outlook.office.com., under Local Storage, right-click it, and select Clear.
Clear cookies: Under Cookies, locate https://outlook.office.com., right-click it, and select Clear.
Close the DevTools window.
Once completed, the cache for the new Outlook will be cleared. Please note that this process removes temporary files, including saved login credentials, so you may need to sign in again.
