Based on the screenshot you provided, it appears that the room mailbox has automatically declined the booking. This typically happens due to scheduling conflicts or room booking policies configured in Microsoft 365. Please kindly check the following:
1/ Check if the Room is Already Booked
Open Scheduling Assistant (next to the time field) and review the room’s availability.
If the time slot shows as busy (solid block), the room is already reserved.
Please try selecting another available time slot.

2/ Check Room Booking Policies
Conference rooms are managed by automatic processing rules set by your IT administrator. The room may decline the meeting if:
- The meeting is scheduled outside allowed working hours
- The booking duration exceeds the maximum limit
- The booking is too far in advance
- Recurring meetings are restricted
- A minimum booking duration requirement is not met
If that, you can try:
- Schedule the meeting within business hours
- Reduce the meeting duration
- Book a single occurrence instead of a recurring meeting
If the room continues to decline, your Microsoft 365 administrator may need to review the room configuration via Microsoft 365 Admin Center > Resources > Rooms & Equipment > Select and review the room
3/ Check Booking Permissions
Some rooms are configured to:
- Require approval
- Allow bookings only from specific users or departments
- Require delegate approval
If any of these policies apply, the room may automatically decline your request.
Please ask your IT administrator to confirm:
- Whether you have permission to book this room
- Whether the room requires approval before confirmation
4/ Verify Time Zone Settings
In some cases, the room appears “unavailable” because the meeting is being scheduled outside working hours due to an incorrect time zone setting.
In Outlook, if the selected time appears in gray instead of white, it may indicate that it falls outside working hours. Please verify your Outlook time zone settings and adjust them if necessary.
