Need a Feature to Analyze Mailbox Content and Generate Detailed Reports

I need help finding a feature or tool in Microsoft 365 that allows me to access the contents of a mailbox and generate detailed reports.

We have a hotel reservation mailbox that receives hundreds of emails daily related to room bookings. Our reservation agents handle these messages by:

  • Confirming reservations
  • Canceling bookings
  • Prioritizing specific reservations
  • Managing overall reservation workload

I’m looking for a solution that works with Outlook desktop or on the web and provides insights and reporting on message content and mailbox activity, such as how many rooms were confirmed, canceled, and the types of actions taken, workload distribution, and other useful operational details.

Is there an existing Microsoft 365 feature, add‑in, or recommended approach to analyze mailbox content and generate these kinds of reports?

    Dear Khaled Wefky Mohamed,

Thank you for posting your question on the Microsoft Q&A forum.

I truly understand how important this requirement is for your operations. Managing a high-volume reservation mailbox, requires clear visibility into confirmations, cancellations, workload distribution, and overall performance. Having structured insights directly from Outlook would certainly make daily operations more efficient and data driven.

Unfortunately, at this time, Microsoft 365 and Outlook do not provide a built-in feature that can analyze email content and automatically generate this type of detailed operational reporting. While there are mailbox usage reports available in the Microsoft 365 admin center, they focus primarily on activity metrics (such as send/receive volume) rather than content-level insights or business-specific classifications.

However, Microsoft values customer feedback greatly. I strongly encourage you to share your idea through the Microsoft Feedback Portal: https://feedbackportal.microsoft.com/feedback/

Submitting your scenario there helps ensure the product team understands real operational needs like yours and can consider them for future enhancements. Business use cases such as reservation management are highly relevant, and feedback from customers plays a key role in shaping product improvements. I also sincerely hope we see more advanced mailbox analytics capabilities introduced in future Outlook updates.

Additionally, if you would like guidance on possible alternative approaches (for example, using Power Automate and Power BI for custom reporting), I recommend that you post on the Microsoft Power Platform Community Forum Thread for expert assistance. In there, you'll get the most qualified group of respondents, and other partners who read the forums regularly can share their knowledge or learn from their interaction.

In Microsoft 365, you can utilize several features and tools to analyze mailbox content and generate detailed reports. Here are some options that may help you with your hotel reservation mailbox:

    1. Mailbox Usage Reports: You can access mailbox usage reports in the Microsoft 365 admin center. These reports provide summary information about mailboxes, including message volume and activity. You can view reports on email activity, mailbox usage, and more, which can help you understand the workload distribution among your reservation agents.
    2. Email Activity Reports: The Microsoft 365 admin center also offers email activity reports that can show you how many emails are being sent and received, which can be useful for analyzing the volume of messages your mailbox handles daily.
    3. Custom Reporting with Microsoft Graph: If you need more tailored reports, you can use the Microsoft Graph API to programmatically create reports based on mailbox activity. This allows you to gather specific insights and operational details that are relevant to your needs.
    4. Excel Reporting Workbook: Although it is planned to be deprecated, the Excel reporting workbook can still be used to view summary reports with drill-down capabilities. This can help you analyze data in a more customizable way.
    5. Message Trace: For troubleshooting specific events, such as messages not arriving, you can use the message trace feature in the Exchange admin center. This can provide insights into the flow of messages and help identify any issues in the reservation process.

By leveraging these tools, you can gain valuable insights into the mailbox activity and improve the management of your hotel reservation workload.
