Hi @Adrian,
Thank you for posting your question in the Microsoft Q&A forum and for taking the time to share such a detailed explanation. That context is very helpful.
Based on what you’ve described, the behavior you’re seeing is expected in New Outlook for Windows. In this version, removing an email account works differently than in classic Outlook. Specifically, deleting a .pst file from your computer does not automatically remove it from Outlook. Even after the file is deleted, the entry can still appear because it remains linked to your Outlook profile.
To help resolve this, please review the scenarios below and follow the steps that best match what you’re seeing:
Option 1 (most likely): The item is a PST data file, not an actual mailbox
Since the path in your screenshot ends with .pst, New Outlook is treating this as an Outlook data file rather than a mailbox account. To remove it from Outlook’s left pane, please do the following:
- Open New Outlook.
- Go to Settings > Files > Outlook Data Files.
- Locate the PST entry, select Manage, and then choose Close file.
- Close and reopen Outlook.
This removes the PST from Outlook’s view. Deleting the file only removes it from disk, Outlook will continue to display it until you explicitly close the file within the app.
Option 2: The item is a real email account (Exchange / Microsoft 365 / IMAP)
If what you’re still seeing is an actual email account rather than a data file, you can remove it directly from Outlook:
- In New Outlook, open View settings (or File > Account info).
- Go to Accounts > Your accounts / Email accounts.
- Select Manage next to the account, then choose Remove.
Please note that this only removes the account from Outlook, it does not delete the email account itself at the provider.
Option 3: It’s a shared mailbox or shared folder
If the email you see was shared with you:
- Go to Settings > Accounts > Shared with me, expand the entry, and select Remove.
If the mailbox was automatically added by your IT administrator, you may not see a remove option. In that case, only Hide in folder list may be available.
As a final cleanup step, if the entry still appears unexpectedly, uninstalling and reinstalling New Outlook can sometimes clear stuck or cached entries.
I hope this helps clarify the situation. After trying the steps above, please let me know the outcome. If the email still appears, could you let me know whether it looks like:
- a mailbox account (with Inbox and Sent folders), or
- a separate data file or archive (often labeled with a file name or “Personal Folders”)?
With that information, we can continue working together to resolve this.
Thank you very much for your patience and understanding. If you have any further questions or need additional help, please don’t hesitate to reply. I’ll be glad to continue assisting you.
I look forward to continuing the conversation.
