For a Microsoft 365 work or school account, the primary email address is configured and managed by an administrator. It represents the user’s main mailbox address and is used as their default identity for email and other Microsoft 365 services. Changing the primary email requires appropriate admin permissions and does not create a new account, it simply updates the primary address associated with the existing mailbox.
You have to reach out to your IT admin and request them to change your primary email by following the steps below:
Note: They must be a Microsoft 365 admin (User admin + Exchange admin). Regular users cannot change their own primary email.
- Sign in to the Microsoft 365 admin center
- Go to Users > Active users.
- Select the user account
- Open the Account tab and select Manage username and email.
- Choose your current email address and edit it at the pen icon:

The primary email is the address that typically appears in the From field and represents the user’s main identity in Microsoft 365.
If you’re using a personal Microsoft account, you can add a different email address as an alias. To do this, go to https://account.live.com, then navigate to Your info > Sign‑in preferences and select Add an alias. You can either create a new alias using the Outlook.com domain or add an existing third‑party email address (such as Gmail or Yahoo), as long as it is not already linked to another Microsoft account. Once the alias is added, you can set it as your primary alias. It’s also recommended to review Security > Manage how I sign in to ensure all security contact information is up to date.
