Microsoft Bookings filling meeting form: prevent changing name and email fields

I create a Shared booking page in Microsoft Bookings. When the user hits the link of the meeting page, they will have to populate the (Custom) fields that I marked as required for that Service.

One thing that I like is that fields like Name and Email come prepopulated from the account the user used to sign in to Microsoft.

However, there seems to be not way from preventing the user to edit those fields and to introduce data that is not real.

I have checked, if the user replaces the real name and email with different data and then submits,

the 'false' data will propagate everywhere in the Bookings app, leaving the admin with no clue

about the user's genuine identity.

Is there any way to find out the user's genuine data ?

Or perhaps, when editing the Service's Custom fields, is there a way to mark email and name as required but not editable ?(because they are pre-populated, anyway)

Thanks

    Dear @fast ethernet,

Thank you for posting your question in the Microsoft Q&A forum.

I understand your concern, and you’re absolutely right to raise it.

At this time, however, Microsoft Bookings does not support locking or making the pre‑populated Name and Email fields read‑only. Even when those fields are filled automatically from the signed‑in account, users can still edit them before submitting the booking, and the modified values are then treated as the official booking data across Bookings, calendars, and notifications. There is also no supported way for administrators to later retrieve the user’s original signed‑in identity once the form has been submitted.

I agree this would be a valuable enhancement. Being able to trust the identity data (name and email) when users authenticate to a Microsoft Bookings page is critical, especially for internal/external bookings, compliance‑related scenarios, and auditability. Your expectation that pre‑populated identity fields should not be freely editable is completely reasonable.

Therefore, to ensure your feedback reaches the right teams, I highly recommend submitting your feedback directly to Microsoft Ideas · Community, where our product development team can know your requirements and ideas for product improvements. If enough users raise ticket for the same idea, Microsoft may consider adding this feature in the future.

Currently, Microsoft Bookings does not provide a built-in feature to prevent users from editing the pre-populated Name and Email fields. The fields are populated based on the user's account information, but once they are editable, users can change this information before submitting the booking. This can lead to issues where incorrect data is submitted, as you mentioned.

As for identifying the genuine data of the user, there isn't a direct method within Bookings to retrieve or enforce the original account details after they have been altered by the user. The system relies on the integrity of the data entered by the user.

Unfortunately, there is no option to mark the Name and Email fields as required but not editable in the current version of Microsoft Bookings. You may want to provide feedback to Microsoft regarding this feature request, as it could enhance the functionality of the service for many users.
