Outlook Classic Windows app, printing question

Hi, I am using the Outlook Classic Windows app.

I have an email conversation that started on February 1,someone replied on February 2, and I replied again on February 3.

When I print the email to PDF, it shows the messages February 3, then February 2, then February 1

Is there a way to print the email to PDF so it shows February 1 → February 2 → February 3?

A detailed instruction would be appreciated!

    Hi zoe,

    Welcome to Microsoft Q&A.

In Outlook Classic for Windows, when Conversation View is enabled, the PDF printout follows the same order your conversation is currently displayed (often "newest on top"), so it prints Feb 3 > Feb 2 > Feb 1.

    To print oldest > newest (Feb 1 > Feb 2 > Feb 3):

    1. Open the folder that contains the thread (Inbox or Sent Items).
    2. On the ribbon, select View.
    3. Sort by date (Oldest on Top):
      • Click the Received column header until the arrow points up ↑ (oldest first), or
      • Go to View > View Settings > Sort… and choose Received (or Sent for Sent Items) > Ascending.
    4. Select the conversation to display it in the Reading Pane in the correct order.
    5. Go to File > Print > choose Microsoft Print to PDF > Print.

Tip: If the thread is mainly in Sent Items, sorting by Sent (Ascending) usually gives the best chronological result.

Please let me know if this proves useful to you, or if you would like further assistance.

I'm looking forward to your reply.

To print your email conversation in the desired order (February 1 → February 2 → February 3), Outlook Classic does not provide a direct feature to rearrange the messages before printing. However, you can follow these steps as a workaround:

    1. Open the Email Conversation: Open the email thread that you want to print.
    2. Copy the Messages: Manually copy the text of each email in the order you want them to appear. You can do this by selecting the text of the email from February 1, then February 2, and finally February 3.
    3. Paste into a New Document: Open a word processor like Microsoft Word and paste the copied messages in the correct order.
    4. Format as Needed: You can format the text as needed to make it clear which message belongs to which date.
    5. Print to PDF: Once you have arranged and formatted the messages, you can print the document to PDF by selecting "Print" and choosing "Microsoft Print to PDF" as your printer.

This method allows you to control the order of the messages in the printed PDF, as Outlook Classic does not have a built-in feature to change the printing order of email replies directly.
