You're encountering a Microsoft 365 account‑overlap scenario, and your IT team is correct: admins cannot remove or manage personal Microsoft accounts, even if they use a corporate email address.
Your users accidentally created a personal Microsoft account (Live ID) using their work email address.
Microsoft treats these as two completely separate identities:
- Personal account > managed at Microsoft 365 account.
- Work account > managed in your Microsoft 365 tenant (Entra ID)
Since the personal account is owned and managed by the user, the required action must be taken on their side. The most efficient solution currently is to create a new email alias and designate it as the primary alias in place for the work account.
They can create a new alias by following the steps below:
Step 1: Sign into your Microsoft 365 account.
Step 2: Go to Your info in the left side menu.
Step 3: Scroll down to Account info and click Edit account info.
Step 4: Under Account alias, click Add email.
Step 5: From there, they can create a new alias, or add an existing email address as a Microsoft account alias. Type their new address and click Add alias.
And done. Their alias has now been added to their Microsoft account, allowing them to send and receive emails with your new email address.
Now if you want to remove their old email address from this account, they’ll first need to select their new alias as your primary address. To do so, follow these simple instructions:
Step 6: Click the Make primary link next to their brand new alias. Then select Yes to confirm.
Step 7: To delete their old alias, click the Remove link next to it. Then press Remove.
And that’s it. They've successfully changed your email address using the alias feature. They can now use your updated email address without it being interrupted by their work account.
Additionally, please perform these steps on users' device:
- Sign out of all Office apps
- Go to Settings > Accounts > Access work or school Disconnect any personal or duplicate entries
- Restart the device
- Sign back in only with the work account in Microsoft 365 apps
This clears cached identity conflicts and prevents re‑prompting.
