OneDrive files remain available to download even when storage is over quota or when a subscription has expired, so resubscribing is not required just to download and clean up.
Key points from the scenario:
- Account is over the OneDrive/Microsoft cloud storage limit.
- Files need to be downloaded to an external SSD (USB 3.0, ~4 TB, no OS).
- Local laptop disk is smaller than total OneDrive usage.
What happens when storage is over limit
- When OneDrive storage is exceeded, new uploads/edits/syncs are blocked, but existing files remain available and are read-only.
- Files can still be downloaded or deleted to get back under the storage limit.
Steps to download files to the external SSD
- Connect the SSD to the Windows 11 laptop and ensure it appears as a drive in File Explorer.
- Use OneDrive on the web (recommended to avoid filling the internal laptop drive):
- Sign in to OneDrive.
- Navigate through folders and select the files/folders to download.
- Select Download.
- When the browser prompts for a save location, choose a folder on the external SSD (e.g.,
E:\OneDriveBackup).
- For large sets of items, OneDrive will download a
.zip file containing the selected files and folders.
Important download limits and behavior
- If multiple files/folders are selected and Download is chosen, the browser downloads a single
.zip file with all selected content.
- Download limits apply:
- Up to 250 GB per file.
- Up to 10,000 files total per download operation.
- Folder size limit: 10,000 files.
- For multiple compressed files (e.g.,
.zip, .mp4), 10 GB per .zip file and 20 GB overall.
- If a folder is open and Download is selected without selecting items, all contents of that folder are downloaded.
- Some items (e.g., OneNote notebooks) cannot be downloaded as part of a multi-file
.zip and may require separate handling.
Because the laptop’s internal drive is smaller than the total OneDrive usage, always choose the external SSD as the download target and work in batches that respect the above limits.
Freeing up OneDrive/cloud storage after download
- After verifying that files on the SSD are complete and readable, delete unneeded files from OneDrive on the web.
- Empty the OneDrive Recycle Bin online (the Recycle Bin contents count against storage).
- It can take up to 24 hours for storage quotas to update after large deletions.
Notes about deleting “the cloud account”
- OneDrive storage is part of the Microsoft account and cannot be deleted separately while keeping the Microsoft account active. Cloud storage itself cannot be removed; only its contents can be deleted.
Software requirements
- No special software is required beyond:
- A supported web browser (for OneDrive on the web), and
- Windows 11’s built-in File Explorer to manage files on the SSD.
- The OneDrive desktop sync app is optional; in this scenario, using the web download directly to the SSD avoids filling the internal drive.
