Power Automate access is required to build the automations that Copilot can then use to help manage Outlook (summaries, organization, follow-ups, etc.). Use these steps to get started and then connect the pieces:
- Open Power Automate
- Sign in with the same work or school account used in Outlook.
- Go to the Power Platform environment that’s available to the account. Copilot features in Power Automate require an environment located in the United States.
- Use Copilot to design Outlook automations
- In Power Automate, create a new cloud flow using Copilot.
- Use prompts in the form “When X happens, do Y” and explicitly mention Outlook. Examples based on the goals described:
- Morning brief:
- Prompt: “When I sign in each weekday morning, summarize important emails from the last 24 hours and send me a single email in Outlook.”
- Organize emails into folders:
- Prompt: “When an email arrives in Outlook from my manager, move it to the ‘Manager’ folder and mark it with high importance.”
- Prepare draft replies:
- Prompt: “When an email arrives in Outlook with subject containing ‘status update’, create a draft reply in Outlook using a standard response template.”
- Morning brief:
- If the initial flow isn’t correct, tweak the prompt and regenerate as recommended in the prompt guidance.
- Refine flows using Copilot inside the designer
- After Copilot generates a flow, open it in the designer.
- Use Copilot in the canvas to adjust behavior, for example:
- “Add a step to also flag the email in Outlook.”
- “Change this to only run on weekdays.”
- Use Copilot in Outlook directly
- In Outlook (desktop, web, or new Outlook for Windows), select the Copilot button.
- With or without a Microsoft 365 Copilot add-on license, Copilot Chat in Outlook can already:
- Summarize recent emails related to a project.
- Draft email updates.
- Schedule meetings and set automatic replies.
- Example prompts:
- “Summarize my emails from the last week related to Project Alpha.”
- “Draft an email update summarizing customer escalations from this week.”
- “Schedule a meeting with my manager.”
- Automate broader daily tasks with Microsoft 365 Copilot Actions
- Go to https://Office.com/Actions or select Actions in Microsoft 365.
- Use templates in Gather and Catch up categories to:
- Automate follow-ups and collect responses from colleagues.
- Catch up on missed messages and meetings across Outlook and Teams.
- Get post-meeting summaries.
- If Copilot or Power Automate features are unavailable
- Ensure the account is a work or school account (Copilot in Power Automate for desktop and some Copilot capabilities do not work with personal accounts like
******@live.com). - Ensure the environment is in the United States for Copilot in Power Automate.
- If Copilot features are disabled by the organization, an admin may have to enable them or contact Microsoft Support.
