I understand that you are experiencing alignment inconsistencies with your mail merge letters, specifically where logos and headings shift positions or overlap during the finish and merge process or when reopening archived documents.
This behavior typically occurs when a letterhead is constructed using floating objects, such as images or text boxes, that are anchored to specific paragraphs. In a managed enterprise environment, Word reflows the layout based on the active printer driver or the local Normal.dotm global template. When the merge process generates multiple sections, these anchors can drift, causing the logo and text to move into the page body or overlap with the header area.
To stabilize your document layout, please apply these adjustments to your Main Mail Merge Template (the .dotx or .docx source file) rather than the merged output:
- Implement a borderless table for structure: Put the logo and header text into a borderless table within the header section. I recommend a two-column table: place the logo in the left cell and the text in the right. This creates a fixed box that prevents elements from drifting. Additionally, right-click the logo, select Layout Options, and ensure the wrapping is set to Square for precise placement.
- Audit hidden formatting: On the Home tab, click the Show/Hide (¶) icon to reveal non-printing characters. Remove any unnecessary paragraph marks or manual line breaks above the address and greeting fields. These hidden marks often cause different records to start at varying heights on the page.
- Disable automatic style updates: Navigate to File > Options > Add-ins. In the Manage dropdown at the bottom, select Templates and click Go. Ensure that the checkbox for Automatically update document styles is unchecked. If this is enabled, Word may reapply style definitions upon opening the file, which can move spacing and headings across both new and older saved letters.
