Based on my research, the most optimal solution in a Microsoft 365 business environment is to use Power Automate. It allows you to create a scheduled flow that automatically sends the email every week at the exact time you choose.
However, if Power Automate is not permitted in your environment, Outlook (Classic) does not currently have a built-in “send recurring email” feature. In that case, you can use the following manual workaround:
Step 1: Create an Email Template
1. Compose your email as usual.
2. Add all required recipients.
3. Go to File > Save As
4. Choose Outlook Template (*.oft)
5. Save the template.
Step 2: Create a Weekly Calendar Reminder
1. Go to Calendar > Select New Appointment
2. Enter a title (e.g., “Send Weekly Report”)
3. Click Make Recurring
4. Choose:
- Weekly
- Select the appropriate day
- Set the time you want to send the email
5. Set a Reminder (e.g., 15 minutes before)
6. Click Save & Close
Step 3: When the Reminder Appears
1. Open the saved email template
2. Review if needed
3. Click Send.
