Request for Refund – Microsoft 365 Business Subscriptions

I I recently purchased a Microsoft 365 Business subscription, then cancelled it shortly afterward. I subsequently purchased a second Microsoft 365 Business subscription, which I also cancelled within less than one hour. Despite cancelling both subscriptions almost immediately and not using either service, I was charged for both. I am requesting a review of these charges and a refund, as the subscriptions were not utilized and were cancelled promptly.

    Hi,

Thank you for sharing your question. I understand how frustrating it feels to cancel both subscriptions almost immediately, not use the service at all, and still see charges appear on your account.

The reason you were billed even after cancelling is tied to how Microsoft 365 Business subscriptions are refunded under the Microsoft Customer Agreement (MCA) and MOSA billing models. Under MCA, a prorated refund or credit is only available when a cancellation occurs within seven days of the subscription’s start or renewal date, and the system automatically calculates the refund based on unused days.

To help move this toward a resolution, I recommend reviewing your subscription’s billing type (MCA or MOSA) in the Microsoft 365 admin center and confirming whether your cancellation fell within the eligible refund window. If it did, the prorated refund should process automatically within one to two days; if it hasn’t, submitting a billing support request through the Microsoft 365 admin portal is the next best step, as an agent can review the charge and manually issue the appropriate credit when eligible.

May I ask whether these subscriptions were billed under an MCA or MOSA account, and whether the charges appear as pending or posted on your payment method? Knowing this will help me guide you more accurately on the next step.

Please feel free to follow up with any details or screenshots (without personal information), and I’ll be happy to walk you through the exact refund path.

    I hope this helps.

    Best Regards,

    Noel

Refund eligibility for Microsoft 365 Business subscriptions depends on how and when the subscriptions were purchased and cancelled.

For business subscriptions managed in the Microsoft 365 admin center, the available refund or credit is determined by the billing account type and the timing of cancellation:

    1. If the billing account type is MCA (Microsoft Customer Agreement):
      • A prorated credit or refund is only available if cancellation occurs within seven days after the start or renewal of the subscription.
      • If cancellation is within this seven‑day window, the prorated amount is credited or refunded within one to two days.
      • If more than seven days have passed, recurring billing can be turned off so the subscription does not renew, but a refund is not issued for the current term.
    2. If the billing account type is MOSA:
      • Cancelling after the subscription starts or renews results in a prorated credit or refund, which is applied to the next invoice or returned in the next billing cycle.
      • The exact steps to cancel depend on the number of licenses, but the refund behavior is prorated rather than full for unused time.

In all cases, the system calculates the refund based on the unused portion of the charge cycle (daily rate multiplied by unused days and license count), not on whether the service was used.

    To proceed:

    1. Determine the billing account type (MCA or MOSA) for the Microsoft 365 Business subscriptions.
    2. Confirm the exact purchase and cancellation times to verify that both cancellations fall within the applicable refund window.
    3. If the subscriptions meet the criteria above for a prorated refund or credit, submit a cancellation/refund request through the Microsoft 365 admin center or contact Microsoft support/billing so the charges can be reviewed and the appropriate prorated refund or credit applied.
