When printing from Mailings printer sees LT instead of COM10

When printing envelopes from Mailings in Word the Toshiba printers we use attempt to print standard LT and errors out. The settings in preferences are set for envelopes in a bypass tray and in Mailings>Envelopes>Envelope Options (size 10 selected)>Printing Options correct orientation and tray have been selected. The issue is not present when using a direct envelope template from the beginning. Any advice would be helpful. I can duplicate this issue consistently on my own setup.

    Hi @Michael Douglas,

Thank you for posting your question on the Microsoft Q&A forum and for providing such a clear and detailed description of the issue.

Since the printer works correctly when you start from an envelope template, this suggests that the problem is likely related to how Word hands off the envelope settings to the printer driver. More specifically, the Toshiba driver appears to be defaulting back to Letter (LT) size instead of COM10 during the Mailings > Envelopes workflow.

To help address this, you may want to try the following steps, as they often resolve similar issues:

    1. First, make sure the bypass or multipurpose tray on the printer is explicitly programmed as COM10 Envelope, rather than set to "Auto", "Any Size", or "Any Type". When left on Auto, the printer may default to Letter size, which can trigger prompts or errors.
    2. Next, in Windows, open the Toshiba printer’s Printing Preferences and set the defaults before printing. In envelope and mail-merge scenarios, Word can rely on these printer defaults. Please set the paper size to COM10, the paper source to Bypass/MP tray, and the paper type to Envelope (if available). After printing, you can change these settings back as needed.
    3. In Word, try using Mailings > Envelopes > Add to Document and then print the document using File > Print. This approach often preserves the envelope’s page setup more reliably than printing directly from the Envelopes dialog.
    4. Additionally, in the Toshiba driver settings, double-check that any Fit to page or Scale to paper size options are disabled, as these can remap the job back to Letter size.

As an alternative, since you already have a method that works, you may also consider saving the correctly formatted envelope as a template and reusing it for consistent results going forward.

I hope these suggestions are helpful. Please try them and let me know how it goes. If the issue persists, feel free to share additional details and we can continue working through this together.

Thank you for your patience and understanding. If you have any questions or need further assistance, please don’t hesitate to reach out. I’m happy to help.

I look forward to continuing the conversation.
