I understand how inconvenient it can be when you need to update a template but cannot locate the original file in SharePoint.
In SharePoint, Word document templates can be stored either at the content type level or in the specific document library. Because these templates are kept in system locations rather than directly inside the library, it is not always obvious where to access or download them, which is why this issue happens often.
Step 1: Find where the template is managed
Note: If you’re an end-user and cannot access the Content Type Gallery or library settings or SharePoint admin center, your IT administrator will be able to help by giving you permission or updating the template for you.
- Option A: Locating the template through the content type
If the template is associated with a site or tenant content type, you can retrieve it through the Content Type Gallery in the SharePoint admin center.
Open the Microsoft 365 admin center > SharePoint admin center and go to Content services > Content Type Gallery.
Select your document content type.
Open Settings > Advanced settings.
From here you can choose Edit template, which opens the file directly in Word, or upload a new template if you already have an updated version.
- Option B: Locating the template through the document library
If the template is configured at the library level instead of the content type, you can access it from the library’s settings.
Open the document library and go to Settings.
Select Library settings, then choose More library settings.
Open Advanced settings.
Under Document Template, select Edit Template to open and download it, or replace it by pointing the template URL to a new document.
Library templates are stored in the Forms folder by default, but some SharePoint sites restrict direct access to this folder. When that happens, using the library’s Advanced settings is the supported method.
Step 2: Getting a copy of the current template
If you open the template from Advanced settings, Word will launch the document. You can save a local copy using File > Save a Copy. After adding your watermark, the updated file can be uploaded back into the same settings area.
Step 3: Adding the watermark
Once you have the template, open it in Word.
Go to the Design tab and select Watermark. You can choose from built‑in watermarks like “Draft” or “Confidential,” or you can create a custom watermark. Save your changes once finished.
Step 4: Reapplying the updated template
1/ If the template belongs to a site or tenant content type, upload the revised file in the content type’s Advanced settings.
2/ If the content type is published across your tenant, choose Publish or Republish so the update is pushed to all sites.
3/ If the template is defined at the library level, return to the library’s Advanced settings and either update the existing template or specify a new template file. Some libraries require assigning a new filename when replacing templates, which is expected behavior.
- Optional: If the original file remains inaccessible
You can always upload a brand‑new template with the watermark added. This completely replaces the previous template and does not require access to the old file.
