Management of Delayed deliver messages

How do I manage a delayed delivery emails that was already sent but is now not visible anywhere? It seems to just be off in space but not in any drafts or sent boxes.

    Thank you for reaching out. I completely understand how it feels when you’ve already clicked Send, but the message seems to “disappear”, and you can’t find it in Drafts, Outbox, or Sent Items. You’re not alone in this scenario, and I’ll guide you through the most effective checks to locate and manage that delayed message. 

    In Classic Outlook for Windows, the Delay Delivery / “Do not deliver before” feature typically holds the message in the Outbox until the scheduled time. Outlook also needs to be online and connected for the message to send at the time you chose. 

    Also, if Outlook is running in Cached Exchange Mode, delayed messages can be held in the local cache (OST). If Outlook isn’t running at the scheduled time, the email may not send as expected.

    Here are some steps you can try to find the delayed message: 

    1/ Search across all mail first

    In Outlook, use the Search bar and set the scope to All Outlook Items (or All Mailboxes, if available), then search using: 

    • a unique word from the Subject 
    • the recipient’s email address 
    • or a phrase from the message body

    This often finds the item even if it’s not where you expect. 

    2/ Check these folders carefully 

    Please check in this order: 

    1. Outbox (most common for Delay Delivery in Classic Outlook) 
    2. Drafts 
    3. Sent Items 
    4. Deleted Items (and if you see it there, it may have been moved/deleted unintentionally)

    3/ Make sure you’re not hiding it with a view/filter 

    Sometimes a filter makes it look like the message “vanished.” In the folder you’re checking (Outbox/Drafts), try: 

    • Go to View tab > View Settings > Reset Current View

    • At the View Settings, ensure there are no filters applied  image

    If you do find it in Outbox: how to manage it 

    Once you locate the message in Outbox, you can: 

    • Cancel it: delete the message from Outbox 
    • Change the schedule: open it > Options > Delay Delivery > adjust Do not deliver before  
    • Send immediately: open it > remove the “Do not deliver before” option > click Send again

    If you still cannot find it anywhere 

    This usually points to one of these situations: 

    1/ It’s tied to Cached Exchange Mode behavior 

    Microsoft documents that in Cached Exchange Mode, the deferred message may be stored locally and may not deliver unless Outlook is running at the scheduled time. 

    Quick test: 

    • Leave Outlook open and connected for a few minutes (or until the scheduled time passes) and see if it appears in Sent Items afterward.

    2/ It may have been stored/affected by the local cache 

    • If the Outlook profile was recently recreated, the OST rebuilt, or the device restarted during the delay window, delayed items can behave unexpectedly.
