Word deleting body text when downloading a copy

Hi, I've been having this issue on and off for a few months. Occasionally, when I download a document to my computer and upload it to Canvas to submit for class, I will be notified by the professor that the document is blank. When I go back to it, the only thing on there will be my name and the title, no body text, and it will subsequently appear this way in both the download in my files and the live document in the Word app.

I don't think it's an overwrite issue because when downloading a copy to my computer, I can actively see the full text behind the download pop-up, but as soon as I close the document and reopen it, the body text it gone.

Again, it is not the entire document that is erased, either, as it will leave my name in the top corner and the bold center title of the document, but any paragraph text I have written (now ranging from 200 to 3,000+ words) is suddenly gone from the document. There is no way to undo this and retrieve the text because I have always closed the document between downloading and being made aware that there is no body text, and the version history will only display the blank document and the document with the title, not a version that has the full text beacause I always write assignments in one sitting without closing the document in between starting and downloaded (notable that the name and title are added in the same sitting as the body text).

    Hi @Kaylyn K

    Welcome to Microsoft Q&A forum.

Thank you for reaching out and sharing your experience regarding file content loss. I understand how disruptive it is to submit an assignment and then find out the uploaded document looks blank even though it appeared complete moments earlier.

Step 1. Try to recover a previous copy from Word (fastest recovery options)

    1. Open Word, then select File, then Info.
    2. Select Manage Documents, then Recover Unsaved Documents, open any available copy, then immediately use Save As to save it with a new name.

Step 2. Repair the file if it opens but shows missing content

    1. In Word, select File, then Open, then Browse.

    1. Select the affected document, select the arrow next to Open, then choose Open and Repair.

Step 3. Prevent it from happening again (most important)

    1. Before downloading or submitting, use File, then Save As, then Browse, and make sure the file type is Word Document (*.docx).
    2. Rename the file to remove special characters such as “#” and avoid a file name that contains a capitalized extension inside the name (for example, “MyEssay.DOCX” as part of the title). This specific pattern has been linked to files losing content after save and reopen in some Word builds.
    3. After saving with the new name, close the document, reopen it, and confirm the body text is still present before uploading to Canvas.

I hope this information is helpful. Please follow the steps above and let me know if it works for you. If not, we can continue working together to resolve the issue.

Thank you for your patience and understanding. If you have any questions or need additional assistance, please don’t hesitate to reach out so I can continue to support you. If you found the response useful, please consider marking it as accepted, as this may help other community members who are looking for similar guidance.

I look forward to continuing the conversation.

The behavior matches a known Word issue where locally saved files can be deleted or effectively reduced to almost-empty documents when the file name contains a capitalized extension or a # character.

In Word version 2409, if the document title or file name includes a capitalized extension (for example, MyPaper.DOCX, Essay.RTF) or a # symbol, saving after editing can cause the local file to be deleted or its content lost, even though it appears fine until the document is closed and reopened.

To prevent this from happening again:

    1. Check the exact file name of the documents that lost content.
      • If the name includes .DOCX or .RTF in all caps, or contains #, rename the file to remove the capitalized extension and any # characters (for example, change Essay.DOCX to Essay.docx, and remove #).
    2. Make sure Word is updated beyond version 2409.
      • This issue has been fixed by a service change that fully rolled out on 10/8/24.
      • Close all open Office apps, then reopen Word so the fix is picked up.
    3. After updating and renaming, create a fresh copy of the document if needed:
      • Open the affected document (or its last good version), select all content, and paste it into a new Word document with a safe file name (no #, normal .docx extension).
      • Save and then close/reopen to confirm the body text persists.

If the problem continues after these steps, use a newly created document with a clean name for future assignments and avoid capitalized extensions or # in file names when downloading, saving, and uploading to Canvas.
