I am trying to set up my outlook on another computer and I get an error that says "can't reach the incoming server". I have checked my email server settings multiple times and everything is correct.

    Hello Sandy Sharp,

Welcome to the Microsoft Q&A forum.

I understand how frustrating this can be, especially when the same account works correctly on another computer but fails with a “can’t reach the incoming server” message on this one.

I see there is already a Q&A Assist answer above that covers the general Outlook setup and connectivity checks. If you’ve had a chance to review and try those steps, could you please let me know the result?

To add some additional context specific to your situation (since the account works elsewhere), it would be helpful to check whether this computer or network might be blocking the connection. For example, a firewall/proxy setup can sometimes prevent Outlook from connecting successfully in certain network environments. It would also help to confirm whether both devices are using the same network, and whether any firewall, antivirus, or VPN is enabled on the affected computer. If the problem only happens on this device, creating a fresh Outlook profile is often an effective way to rule out profile-related issues (see: Create an Outlook profile - Microsoft Support).

If you’re able to share whether the issue changes after checking the network/security software or after recreating the Outlook profile, I can help narrow down the next steps based on what you observe.

Use these checks and fixes in order, even if server names and ports already look correct:

    1. Confirm Outlook is online and network works
    • In classic Outlook, look at the bottom status bar. If it shows Working Offline, go to Send/Receive tab and click Work Offline to turn it off.
    • Open a web browser on that computer and verify that websites load. If not, fix the network/Wi‑Fi first.
    1. Re‑verify account type and server details Even if the values match what is used on another PC, confirm these points on the new computer:
    • For Microsoft consumer addresses (Hotmail.com, Live.com, Outlook.com), the account type should be Outlook.com, not Exchange or generic Microsoft 365. Using the wrong type can prevent connection and cause “can’t reach incoming server”.
    • For POP/IMAP accounts, compare every field against the provider’s documented settings (server name, port, SSL/STARTTLS, authentication). Use the provider’s documentation or Microsoft’s POP and IMAP server name reference.

If automatic setup failed on this machine, set it up manually:

    1. In Outlook, go to File > Add Account.
    2. Enter the email address, select Advanced options > Let me set up my account manually.
    3. Choose POP or IMAP as required.
    4. Enter the incoming and outgoing server names, ports, and security options exactly as provided by the email service or the POP/IMAP reference.
    5. Enter the password and select Connect.
    6. If it fails, choose Change Account Settings, adjust values, then Connect again.
    7. Check if an app password is required If the account uses two‑step verification (common with Gmail, iCloud, some ISP mail), the normal password might be rejected even though it is correct.
    1. Check for firewall/ISP blocking (especially on laptops) If the same account works on another computer or network, the new computer’s network or ISP might be blocking the incoming mail port:
    • For POP/IMAP, some ISPs block standard ports and require SSL ports instead.
    • Contact the ISP or network admin and ask if POP/IMAP ports are blocked and which ports/SSL settings should be used.
    • Update the incoming server port and encryption in More Settings > Advanced for the account.
    1. Repair the Outlook data file if the profile was copied If a .pst file from another machine was reused and the profile is corrupted, connection errors can appear:
    1. If nothing works, recreate the profile cleanly On the new computer:
    2. Close Outlook.
    3. Open Control Panel > Mail > Show Profiles.
    4. Add a new profile and configure the account from scratch using the correct server settings and, if needed, an app password.
    5. Set the new profile as default and start Outlook.

If the error persists after these steps, the next step is to contact the email provider or ISP with the exact error text and confirm that the mailbox is enabled for POP/IMAP and not being blocked on their side.
