The name or initials shown in a Microsoft account or Microsoft 365 profile depend on where the information comes from and which account type is used. To align the name with the one on the government ID (including initials like “P X”), different actions are needed depending on whether this is a personal Microsoft account or a work/school (organization) account.
- If this is a personal Microsoft account
- Sign in to Your info for the Microsoft account and edit the display name to include the initials exactly as on the ID (for example,
P X Jose Thomas). - Steps:
- Go to Your info in the Microsoft account and sign in.
- Select Edit name.
- Enter the full name with initials as desired.
- Complete the Captcha and select Save.
- It can take up to 24 hours for the updated name to appear everywhere.
- If this is a work or school (organization) account
- Some or all profile fields (name, title, etc.) are controlled by the organization’s directory/HR systems and cannot be changed directly by the user.
- In that case, contact the organization’s IT admin or HR department and request that the account display name be updated to match the legal/government ID (including initials). They may need to update it in Azure AD/Microsoft 365 or the HR system that syncs to it.
- If the initials are missing only inside Office apps (author name in documents)
- The name and initials used for document authorship can be set locally in Office:
- In an Office app (for example, Word), select File > Options.
- Under Personalize your copy of Microsoft Office, set User name and Initials to the desired values (for example,
P X Jose ThomasandPXJT). - Select OK.
- This affects how the name/initials appear in new documents created on that device.
- If using Outlook mobile and seeing initials in the app navigation
- In Outlook for iOS or Android, the letters shown for accounts can be customized per account:
- Open Outlook mobile.
- Go to Settings > Accounts and select the account.
- Edit the Description field to a label that helps distinguish the account (this affects the label/initials shown in the app’s menu bar, not the legal name).
- If profile fields are locked
- If some profile information cannot be edited (for example, name or title is greyed out or not changeable), it is managed by IT/HR. In that case, contact the admin or HR team and request an update to match the government ID.
